Job Description

The Controller provides direction and leadership for YMCA accounting and business operations. Oversees YMCA accounting practices, the maintenance of its fiscal records, and the preparation of its financial reports. Ensures a system of strong internal controls and maintains fiscal soundness. Coordinates the annual external audit, annual budget and the preparation of information for outside funders. Works proactively with CFO and leadership team on analysis and financial projections.

Qualifications
  • CPA and/or MBA highly preferred
  • Bachelor's degree in accounting, finance, business or equivalent.
  • Minimum of 5 years of related experience as an Accounting Manager, Controller or a Manager in a related field.
  • Skills and experience in the following areas: Accounting/Auditing, Financial Reporting, Budget Development/Management, Cash Management, Cost Analysis/Controls and Staff Development.
  • Accounting experience in a nonprofit organization preferred.
  • Previous supervisory experience preferred.
  • Knowledge of, and expertise with, computerized accounting systems and
    standard business software.
  • Strong communication skills, excellent interpersonal skills, both oral and written, and ability to build as well as deliver effective presentations.
Essential Functions
  • Annual Budget
    • Provide leadership, assisting the CEO and CFO with the annual budget process
    • Coordinate the formulation of Branch and Association budgets; training staff, auditing budgets, overseeing data input and preparing reports
    • Maintain budget development spreadsheet/software
    • Participate in budget review sessions
  • Annual External Audit
    • Coordinate the Association’s annual independent audit and the preparation of financial statements.
    • Complete audit work papers and account reconciliations as assigned by CFO.
    • Implement action plan to correct items identified in the Management Letter
  • Month-end close & financial statements
    • Oversee the daily functions of accounting and business operations, ensuring that legal and audit requirements are met and that best practices and maximum efficiency are obtained.
    • Manage and monitor all accounts, ledgers and reporting systems ensuring compliance with appropriate GAAP Standards and regulatory requirements as well as the requirements of private contributions, bond requirements and government contracts.
    • Oversees the month-end and year-end closings and assist in the preparation of statements and reports.
    • Monitors and analyzes monthly operating results against budget and identifies corrective actions
    • Prepare bank reconciliations and account reconciliations
  • Manages the accounts payable function
    • Act as system administrator for 3rd party accounts payable processing
    • Review cash disbursement transactions to determine appropriate allocations to general ledger accounts and distribution to various budget categories
    • Ensure timely payment
    • Prepare monthly accruals as necessary
    • Manage cell phones for the Association
    • Oversee preparation of 1099’s
    • Maintain contracts W9’s and Certificates of Insurance for vendors
  • Manage Purchase Card System
    • Act system administrator for Purchase Card Processor
    • Ensure proper approvals and account coding
    • Analyze spending
  • Bi-weekly Payroll Oversight
    • Act as key liaison to 3rd Party Payroll provider
    • Review bi-weekly payroll to ensure complete and accurate
    • Ensure proper filing of quarterly and annual reports including W2’s
  • Branch Financial Liaison
    • Assist Branch Operations Director with financial analysis, policy and procedures implementation, and internal control oversight
  • Internal auditing
    • Implements appropriate systems and internal controls to adequately safeguard the YMCA’s financial resources and to provide a solid basis for accurately reporting financial data.
    • Performs branch/department internal audits as requested and provides recommendations for procedural improvements
    • Assess current accounting operations, offering recommendations and implementing new processes
  • Cash Management
    • Prepare cash flow reports that project cash needs at weekly and monthly intervals and handle daily cash management
  • Monitors Investment accounts for compliance with YMCA’s investment policy.
    • Prepare monthly investment entries
    • Prepare monthly investment account reconciliations for Endowment and Maintenance Reserve
  • Fixed asset management
  • Supervises, hires, trains and develops assigned staff.
  • Meet or exceed agreed upon competencies associated with the position and functions as a positive, supportive member of the staff team.
  • Perform other related duties as required by the CEO or CFO.

EFFECT ON END RESULTS :

This position carries accountability for the efficient and effective operations of the YMCA as a financial/business enterprise. The incumbent must insure accurate and timely financial reports on the organization and efficient operation of the Accounting Department. The effectiveness of this position will be measured by:

  • Timely and accurate financial statements.
  • The effective use of systems developed to insure reporting the total association and branch financial statements.
  • Timely and accurate processing of payroll and related tax reporting.
  • Accounts Payable function that ensures timely and accurate payments to vendors.
  • Accounts Receivable function that ensures accountability for all invoicing and cash receipts.
  • Development and management of accounting staff to satisfy association’s present and future needs.

Language Skills:

Read, analyze, and interpret complex documents.

Respond effectively to the most sensitive inquiries and complaints.

Must be able to make effective presentations to top management, public groups, and board of directors.

Must be able to persuade and motivate others into action.

Mathematical Skills:

Ability to add, subtracts, multiply and divides in all units of measure.

Ability to compute rates, ratios, and percentages and be able to interpret data for effective decision-making

Reasoning Skills:

Must be able to define problems, collect data, establish facts, and draw valid conclusions

Ability to interpret an extensive variety of technical instructions and data and draw well-thought conclusions for effective decision-making and planning

Office and Computer Skills:

Must be able to operate standard office and computer equipment

Must have experience with Microsoft Office (Word, Excel, PowerPoint)

Must be versed in budgeting and financial software.
