Your new role

This is a newly established role, where you will work closely with the Head of Board Secretariat. Your overall responsibility will be to provide administrative support in different workstreams to ensure that planning, preparation and execution of Board meetings run efficiently and to ensure that securities law and governance practices are followed and further developed. In addition, you will provide daily support to the Head of Board Secretariat with a wide variety of tasks. Your areas of responsibility will, amongst other, include support with:

  • Planning, preparing, and coordinating Board meetings.
  • Ensuring timely and high-quality material, including gathering material from other parts of the business and performing first review and proof-reading.
  • Controlling and managing Lundbeck’s Board Portal, Directors Desk, including uploading and converting materials and maintaining access rights.
  • Support with forming and maintaining the Annual Wheel, preparing first drafts of communication, reports, and Power Point presentations.
  • Performing first review of governance related disclosures and assisting in executing Board and corporate governance processes.
  • Support with organizing the Annual General Meeting in Lundbeck.
  • Support on securities law related matters, such as updating confidentiality and insider lists and preparing training material for the organization.
  • Support on other day-to-day administrative tasks and ongoing Board Secretariat activities.
  • Supporting the Head of Board Secretariat with administrative tasks, project management, budgets, optimizing processes, strategy implementation and other related tasks.

Your future team

You will be part of the Board Secretariat, which is a key component of Global Legal, Compliance & Sustainability. Reporting to Snr. Director, Jakob Østergaard Mikkelsen, you will join a highly skilled team that values diligence, empathy, openness, humor, and respect in the way we work together. Your new team is based in Valby, Copenhagen, and collaborates closely with our colleagues in Krakow, Poland, US, China and our Regional Legal & Compliance Officers around the globe.

The position is based in Valby, Denmark.

What you bring to the team

The ideal candidate will have the following experience:

  • Previous experience in an administrative role, could be legal secretary, paralegal, executive assistant, project management or similar.
  • Experience working in a similar role, understanding of governance or securities law practices and Board related procedures and/or experience in working in an international setting is a plus.

As the Board Secretariat Assistant you will play a crucial role in building the Board Secretariat’s brand across the organization and you will interact with multiple stakeholders at all levels. We are therefore looking for someone who is:

  • Professional, consistent, and service-minded.
  • Proactive and organized.
  • Detail-oriented with an interest in continuous improvement.
  • Skilled in establishing good work relations and interacting with multiple different stakeholders at all levels.
  • A clear and effective communicator.
  • Proficient in IT skills, with solid experience in Word, Excel, and good Power Points skills.
  • Experience with our Board Portal, Directors Desk, is a plus, but not required.
  • We are a multinational company, and our Group language is English. Therefore, we expect that you speak and write English fluently.
