Role Summary:
We are seeking a highly organized and proactive Route Coordinator to manage and optimize the scheduling of repair and maintenance tasks for our vending and coffee machine engineers. The successful candidate will ensure efficient route planning, timely response to service requests, and smooth communication between the engineers, customers, and operations team. This role is essential to maintaining high customer satisfaction and operational efficiency.
Key Responsibilities:
Route Planning and Optimization:
- Schedule and assign repair and maintenance jobs to field engineers based on location, urgency, and availability.
- Utilize route optimization tools to minimize travel time and maximize efficiency.
- Continuously monitor and adjust routes to accommodate new requests or unexpected delays.
Service Coordination:
- Act as the central point of contact for engineers, customers, and operations teams.
- Ensure all service requests are logged, prioritized, and assigned in a timely manner.
- Maintain an accurate record of completed and pending service jobs.
Communication:
- Liaise with customers to confirm appointment times and provide updates on service status.
- Provide engineers with clear job details, including location, issue description, and any necessary instructions.
- Address any scheduling conflicts or customer concerns promptly and professionally.
Performance Monitoring:
- Track and analyze key performance metrics such as response times, job completion rates, and customer feedback.
- Identify areas for improvement in route planning and service delivery.
- Prepare regular reports on operational performance for management review
Administrative Support:
- Ensure all necessary paperwork and documentation for service jobs are completed and filed appropriately.
- Maintain an up-to-date database of customer locations, machine details, and service history.
- Assist in inventory management for spare parts and tools as needed.
Qualifications and Skills:
Essential:
- Strong organizational and time management skills.
- Proficiency in route planning software and tools.
- Excellent communication and interpersonal skills.
- Ability to work under pressure and manage multiple tasks simultaneously.
Desirable:
- Previous experience in a scheduling or dispatching role.
- Familiarity with CRM systems and service management software.
- Knowledge of the vending and coffee machine industry.
- Basic technical understanding of vending and coffee machines or a willingness to learn.
