24/7 Motorcoach is looking for a seasoned Administrative Assistant to the GM, Owner and all managers responsible for all administrative duties, and assisting in accounting. Someone who is eager to learn and grow. Someone who thrives in a fast pace environment and can handle being under pressure of deadlines.
Candidates who have great people skills, attention to detail, and a great work ethic are encouraged to apply. You will be the face and the voice of the Company, greeting guests in the lobby, answering phones, and communicating with vendors and office staff.
Responsibilities
- Provide excellent customer service in person, over the phone and through email.
- Answer and direct phone calls, take messages and follow up with clients as needed.
- Organize and schedule appointments
- Write and distribute email, correspondence memos, letters, faxes and forms
- Develop and maintain client files & billing files
- Bookkeeping ( AP, AR and Invoicing, Quarterly Tax Filings for multiple companies) (will train the right person)
- Maintain contact lists
- Ability to enter Invoices and file correctly
- Ability to create work orders and work with technicians
- Assist with Sales and Contracts
Skills
- Experience with QuickBooks helpful but not necessary
- Administrative assistant or office admin assist knowledge helpful
- Working knowledge of office equipment, like printers and fax machines
- Proficiency in MS Office (MS Excel, Word and MS PowerPoint, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- Excellent oral and written communication skills
- Adaptable and willing to learn new projects and tasks
- Great Customer Service
- Experience in answering multi-line phones
