We are currently seeking an Accounts Payable Specialist to join our accounting team in Orlando, FL at 26Health. In this role, you will report to the Controller and will perform the responsibilities of processing Accounts Payable, reconciling general ledger accounts, recording journal vouchers, and preparing monthly accruals. As an AP Specialist, you will contribute with ideas to the process-improvement process, and actively participate in department meetings.
Duties and responsibilities
Invoice Processing:
- Receive, review, and verify invoices for accuracy, proper approval, and documentation.
- Match invoices with purchase orders, contracts, and receipts as needed.
- Enter invoices into the accounting system for timely payment processing.
Payment Management:
- Prepare and process electronic transfers, ACH payments, and checks.
- Set up and maintain vendor accounts, ensuring payment terms and discounts are applied correctly.
- Monitor and prioritize invoices to ensure timely payments and avoid late fees.
Reconciliation:
- Reconcile accounts payable transactions and resolve any discrepancies with vendors or internal departments.
- Perform monthly reconciliations of accounts payable ledger with the general ledger.
- Assist in preparing month-end closing tasks related to accounts payable.
Vendor Management:
- Maintain accurate vendor records, including contact information and payment preferences.
- Respond to vendor inquiries and resolve payment issues in a timely manner.
- Negotiate payment terms with vendors as necessary.
Expense Reporting:
- Review employee expense reports for accuracy, proper documentation, and policy compliance.
- Process reimbursements and ensure timely payment to employees.
Internal Collaboration:
- Work closely with procurement, finance, and other departments to resolve any purchase order or invoice issues.
- Assist in maintaining and improving internal controls over the accounts payable process.
Reporting and Analysis:
- Generate regular accounts payable aging reports and ensure proper cash flow management.
- Provide accounts payable reports and insights to management as needed.
- Assist with audits by providing necessary documentation and records.
Qualifications/Knowledge/Skills/Experience
- Bachelor’s degree in finance, business administration, or related field preferred.
- Minimum 2 years of related experience.
- Ability to work in a complex team environment and to collaborate with both external and internal professionals and other customers.
- Excellent verbal and written communication skills; communication style that is open and fosters trust, credibility, and understanding.
- Proficient in all MS Office applications (Excel, Word, PowerPoint)
- Must be highly organized, able to focus on multiple priorities, and have the ability to multi-task while maintaining operational efficiencies.
- Proven leadership experience
- Experience working in a healthcare organization is highly preferable.
Working conditions
- Prolonged periods standing, walking, and/or sitting at a desk and working on a computer may be required. Work may be required in various environments as needed by project/activity.
