Position Overview:
As the Administrative Billing Coordinator, you will be responsible for managing work orders, coordinating field service appointments, and supporting the procurement, invoicing, and accounts receivable processes. You will serve as a vital point of contact between our teams and clients, ensuring efficient operations and timely service delivery.
Key Responsibilities:
Work Order Management: Track and update work orders for accuracy in scope, pricing, and details.
Field Service Coordination: Schedule appointments, communicate with clients, and assist in creating service schedules.
Client & Vendor Relations: Follow up on client orders, maintain relationships, and assist with vendor invoice processing.
Procurement & Purchasing: Issue purchase orders and ensure timely delivery of materials.
Invoicing & Accounts Receivable: Generate invoices, gather billing documentation, and follow up on payments.
Team Coordination & Reporting: Facilitate communication and meetings to improve workflow and processes.
Other Duties: Perform additional tasks assigned by management to support company operations and objectives.

Qualifications:
- Proven experience in administrative coordination, project management, or similar roles.
- Strong organizational and time management skills with the ability to prioritize multiple tasks.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Experience with billing and accounts receivable is preferred.
- Detail-oriented with a focus on accuracy.
- Positive attitude, professional demeanor, and strong problem-solving skills.
