Position Overview: We are seeking an organized, friendly, and detail-oriented Front Desk Coordinator to join our team. As the first point of contact for our clients, you’ll play a key role in creating an exceptional experience from the moment they walk in. Your responsibilities will include greeting and checking in clients, managing appointments, supporting technicians, ensuring smooth daily operations, and promoting retail products. This role is critical to maintaining the salon’s reputation for excellence and creating a positive, welcoming environment for both clients and staff.
Responsibilities:
Client Experience
- Greet all clients with a warm, friendly welcome as they arrive.
- Ensure clients are checked in promptly and guided to their technician.
- Offer clients a beverage (coffee, tea, sparkling water) upon arrival.
- Confirm appointments, answer questions, and provide accurate service information.
- Check clients out efficiently, ensuring all payments, tips, and receipts are handled correctly.
- Monitor client satisfaction during visits and address concerns or escalate issues to the Manager/Assistant Manager.
Scheduling and Appointments
- Manage appointment scheduling through Vagaro, ensuring accuracy and minimal booking errors.
- Confirm appointments daily, following up on cancellations and no-shows.
- Maintain and update the recall list:
- Reach out to clients without future appointments to encourage rebooking.
- Follow up with clients who cancel to reschedule.
Daily Operations
- Keep the front desk area clean, organized, and stocked with necessary supplies.
- Process payments accurately and balance the cash drawer at the start and end of each shift.
- Monitor and restock supplies like beverages, client forms, and retail products.
- Assist with organizing and maintaining backbar inventory and product displays.
- Perform light cleaning tasks (wiping counters, sweeping near the entrance, restocking retail shelves).
Administrative Duties
- Assist the Manager/Assistant Manager with delegated tasks:
- Update and monitor social media posts to promote tech availability, specials, and salon news.
- Organize client files, digital records, and paperwork.
- Track and input client feedback and reviews.
- Collect and manage Google reviews to ensure ongoing improvement in customer service.
Support Technicians and the Salon
- Keep an eye on the flow of appointments to minimize downtime.
- Proactively assist with laundry, towel restocking, and other light tasks to keep the salon tidy.
- Offer techs help in between appointments as needed (e.g., assisting with supplies, cleaning stations).
- Monitor technician schedules to ensure bookings are accurate and optimized.
Sales and Promotions
- Promote retail products to clients, ensuring they are aware of available products that complement their services.
- Communicate current specials, promotions, and membership options.
- Track product sales and provide updates to the Manager/Assistant Manager.
Additional Responsibilities
- Monitor client memberships and communicate renewal opportunities.
- Ensure all client information and preferences are updated in Vagaro.
- Work closely with the Manager/Assistant Manager to identify and complete additional tasks during downtime.
Performance Expectations:
- Greet and check in all clients promptly and professionally.
- Maintain a clean, organized, and welcoming front desk area.
- Meet Google review goals: Actively request reviews from clients and track progress.
- Support technicians to keep schedules optimized and on time.
- Increase retail sales by upselling products and promotions.
- Proactively manage the recall list to drive rebooking and client retention.
Qualifications:
- Previous experience in customer service, receptionist, or front desk roles (preferred)
- Exceptional communication skills with a warm, approachable, and professional demeanor
- Ability to multitask and manage time effectively in a busy, fast-paced environment
- Strong attention to detail and organizational skills
- Ability to remain calm and collected while addressing client needs
- Flexibility to work evenings and weekends as needed
