Executive Administrative Assistant
Location: Phoenix, AZ
Compensation: $29.00 - $32.50/hour
About the Role:
Our client is seeking two Executive Administrative Assistants to join their dynamic team and provide high-level administrative support to the Core Leadership Team (CLT). This role is 100% onsite at their corporate offices in Phoenix, AZ, Monday through Friday, with occasional after-hours support to handle urgent or emergency tasks. The ideal candidates are detail-oriented, tech-savvy professionals with a proven ability to thrive in a fast-paced environment.
What You’ll Do:
- Manage and maintain complex calendars for C-suite executives.
- Plan, schedule, and coordinate meetings, including setting up virtual calls in boardrooms, Zoom, and Microsoft Teams.
- Arrange travel, including booking flights and accommodations, and prepare detailed itineraries.
- Produce executive-level documents, reports, and presentations.
- Handle expense reporting and maintain accurate records.
- Serve as the first point of contact for calls to CLT members, including the President/CEO.
- Plan and execute events, meetings, and other special projects.
- Develop and maintain contact lists, meeting minutes, and spreadsheets.
What You Bring to the Table:
Required:
- Education: Bachelor’s degree or equivalent work experience.
- Experience: 5 years of administrative experience, including coordinating travel and managing executive calendars.
- Skills: Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, and Visio).
- Ability to produce professional-level documents and handle scheduling for senior executives.
- Typing Skills (shortlisted candidates will be given an assessment)
Preferred:
- Experience in healthcare environments.
- Background in project coordination, event planning, or meeting management.
- Experience working directly with executive leaders.
Additional Requirements:
- Be prepared for on-call rotations, including evenings, early mornings, and weekends, to address urgent tasks such as last-minute CEO travel changes.
- Must complete a skills assessment to evaluate typing speed, proficiency in Excel, PowerPoint, and other administrative tools.
