A Klein Company is an industrial cleaning and painting company located in Waterford, MI. The Office Administrator must be reliable, focused, and detail orientated as they will join a small office staff; many hats will be worn and the opportunities for advancement are endless.
Overview:
· This role includes overseeing general office tasks, handling payroll, assisting the estimator with proposal preparation, and managing marketing initiatives.
· The work week is Monday through Friday, 8:00 AM to 5:00 PM, with a one-hour unpaid lunch break. This is an in person position.
· The pay rate is $41,000 to $48,000 per year. Employees are paid bi-weekly through direct deposit.

Job Responsibilities:
· Scheduling and Coordination: Schedule appointments and meetings, ensuring proper preparation and setup. Coordinate travel arrangements and logistics as needed.
· Customer Service: Serve as a primary point of contact, handling incoming calls and emails while ensuring a professional environment. Address inquiries with a positive and helpful attitude.
· Data Entry and Record Maintenance: Maintain accurate client records, project information, and financial data, including invoices, receipts, and other transactions. Ensure data integrity by reviewing, reconciling, and validating data entries for accuracy and completeness.
· Accounts Payable and Receivable: Assist in tracking and recording accounts payable and receivable entries. Respond to vender inquiries regarding payments and assist in resolving discrepancies.
· Payroll Processing: Accurately calculate and process employee payroll on a bi-weekly basis. Address any payroll related inquiries.
· Marketing and Communication: Create, edit and distribute the company’s monthly newsletter. Ensure that service reminder letters are generated and sent out weekly.
· Proposal Preparation: Assist the estimator in drafting, formatting, and finalizing client proposals. Maintain proposal templates and past proposals.
· Inside sales: Take incoming sales inquiries and contact current proposal holders to close sales.
Minimum Qualifications:
Knowledge and Skills
· Must possess advanced knowledge of general office and clerical practices and procedures including the ability to operate a variety of office machines and equipment.
· Must possess advanced knowledge of PC applications, including but not limited to CRM’S and Microsoft Office.
· Basic design and layout skills along with experience with tools like Canva, Adobe Creative Suite, or Constant Contact is preferred.
· Ability to plan effectively, prioritize workflow, and implement assigned duties.
· Ability to follow written and oral instructions.
· Ability to communicate orally and in writing effectively.
· Must have strong customer service skills.
· Knowledge of field related jargon is preferred.
