POSITION SUMMARY
The Payroll & Benefits Administrator is responsible for ensuring all A&R Solar employees receive their earned wages and administer benefits appropriately and on time. This role is responsible for all facets of payroll related calculations/ reconciliations and assists the HR Manager with administrative duties. The ideal candidate is a detail-oriented problem solver who can operate with a high level of autonomy, expertise, and role ownership. A&R Solar emphasizes quality, continuous improvement, and high performance.
PAYROLL RESPONSIBILITIES
- Process weekly and supplemental payroll for 110 employees, multi-state roster
- Comply with WA/OR/ Federal prevailing wage requirements (Fringe benefit management, OT Calculations, etc.)
- Process weekly certified payroll reports and submit through WA L&I, LCP Tracker, or other contractually required systems
- Pay weekly tax liabilities and garnishments
- Set up employee records and maintain updates as needed inclusive of 401k, health insurance premiums, PTO, other benefit programs, taxes in payroll system
- Assist Project Management with proper Timecard clocking procedures
- Calculate and process per diem, mileage, and other reimbursement payments
- Accurately calculate and pay commissions & commissions draws
- Bonus program calculations and payments
- Confirm accuracy of accounts, customer jobs, service items, and other payroll items for job-costing purposes
- Reconcile data between systems for accurate processing
- Assist in the management of A&R Solar’s apprenticeship program (wage tiers, compensation, and compliance)
- Participate in the monthly close process
- Additional Projects as Needed
HR SUPPORT
- Administer benefits program, including health insurance, 401k, disability, and stipend accounts
- Process employee benefit changes and reconcile invoices against employee deductions to ensure accuracy
- Update and maintain accurate records in Human Resources Information System (HRIS)
- Work with external benefits administrators as needed
- Respond to employment verifications, unemployment claims, and similar requests
- Encourage employee adoption of benefits programs
- Assist with injury claim reporting/ management and research/ apply for state funded wage reimbursement programs (WA L&I, OSHA, Private Disability Insurance, WA Stay at Work, etc)
- Assist with WA PMLA, OFLA, Work Share (OR) and Shared Work (WA) claims, as needed
- Recruitment Support including processing job descriptions, posting ads, and candidate scheduling/ screening
- Complete Onboarding and Offboarding tasks as assigned
- Assist with Annual Company-Wide Compensation Reviews & prepare required documentation
- Mitigate risk by keeping A&R Solar compliant with federal, state (WA & OR), and local labor laws and regulations
- Remain current on changes to relevant policies and regulations via trade publications and outside trainings
REQUIREMENTS
- 2 years of payroll experience using Intuit Quickbooks
- Familiarity with WA Prevailing Wage & Certified Payroll
- Strong proficiency in Microsoft Excel, experience creating nested formulas and pivot tables
- Excellent interpersonal, verbal, and written skills
- Self-motivated and accountable

PREFERRED
- Degree in related field or payroll certification
- Job-Costing or Construction Industry experience
- Experience with onboarding payroll/ HRIS solution software (Paycom, Paylocity)
- Salesforce CRM experience
