Position Overview:
Academica Nevada is seeking a highly organized and detail-oriented Legal Assistant to join our team. As a Legal Assistant at Academica Nevada, you will play a crucial role in supporting various legal and administrative tasks that ensure the smooth operation of our organization. Key Responsibilities:
Legal Tasks/Projects:
1. Legal and Business Filings
- Business Filings:
- Manage and track annual business renewals.
- Maintain a detailed spreadsheet with all entities and due dates.
- Handle the filing of EIN applications and business formations.
- 501(c)(3) Applications:
- Assist with the preparation and submission of 501(c)(3) applications.
- Assessor Filings:
- Handle necessary assessor filings as required.
- Custody Document Reviews:
o Assist with the review of custody-related legal documents.
2. Legal Research, Investigations, and Policy Compliance
- Research Assistance:
- Conduct legal research and prepare memos on findings.
- Assist in compiling legal documentation for various cases.
- Assistance with Investigations:
- Assist in investigations, following training procedures and guidelines.
- Policy Compliance and Reviews:
- Create and maintain a list of necessary policies for school compliance.
- Schedule and assist in yearly policy reviews and updates.
3. Insurance and Claims Management
- Data Entry for Insurance Renewals:
- Enter and update insurance renewal data into databases.
- Assistance with Claims Filed vs Schools:
- Maintain and update claims files.
- Track and manage claims responses, ensuring timely follow-ups.
- Event Insurance Gathering:
- Collect and manage insurance documentation for events.
Human Resources (HR) Tasks:
- Workers' Compensation:
- Submit workers' compensation claims to the insurance carrier.
- Draft light duty offers for eligible claims and complete associated follow-up paperwork.
- Act as the primary point of contact between schools and the insurance carrier.
- Assist schools with OSHA log updates.
- Submit monthly workers' compensation payroll reports.
- DETR (Department of Employment, Training, and Rehabilitation):
- Obtain information from schools regarding claims.
- Draft initial responses and communicate follow-up information with DETR.
- Fax responses and ensure timely correspondence.
Qualifications:
- Previous experience as a legal assistant or in a similar role is preferred.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
- Ability to maintain confidentiality and handle sensitive information.
- Strong communication skills, both written and verbal.
- Attention to detail and ability to prioritize tasks effectively.
- Ability to work independently and as part of a team.
- Familiarity with legal terminology and processes is a plus.
