What we're looking for :
We are seeking an Office Administrator to join our team at our corporate headquarters in Cincinnati, Ohio. As the Office Administrator at Ackermann Group, you will direct and coordinate office activities and related services, including developing, supporting, and monitoring the day-to-day organization and efficiency of the corporate office and satellite offices. Additional responsibilites include :
- Greet all guests and visitors to maintain a professional image. Responsible for answering telephones, responding to inquiries, and routing callers / visitors as necessary
- Maintain current physical and electronic office filing systems
- Assist with developing, implementing, and overseeing Standard Operating Procedures for the corporate office and Company communities
- Provide basic troubleshooting and support for office systems and escalate technical issues as necessary
- Responsible for managing office system access including Salto key fobs, mobile access, door readers and holiday / event calendar
- Coordinate vendor services for office or community-related needs, including but not limited to maintenance and supplies
- Submit and manage tickets for onboarding and offboarding tasks for new hires, transfers, and terminations
- Order and manage OnCall emergency phones, including assisting with call forwarding setups
- Coordinate the purchase and distribution of ID badges and name tags for staff
- Maintain and manage Zoho ticketing system for office, facilities, and property management where needed
- Manage the VOIP system and relationship with vendor
- Maintain asset list of computers for loaner laptops, end-of-life replacements
- Manage and track companywide software subscriptions, including Adobe, Smartsheets, Office 365, and other essential tools.
- Maintain a general understanding of corporate technology, including SharePoint, Office 365, and related products.
- Responsible for completing invoicing, contract negotiations, and administration of office vendors
- Aid with the day-to-day internal administrative tasks and projects such as : maintain tidy office and work environment, maintain electronic conference room calendar, sort and distribute mail, order coffee / beverages as needed and within budget, produce and review expense reports, correspondences, and other documents before submission and distribution, schedule meetings and appointments, and create and manage spreadsheets, presentations, documents, and reports in support of the executive team
- Organize meetings, lunches, and corporate events as necessary
- Alongside Human Resources, lead orientation of new associates within the corporate office; ensures all workspaces are prepared for new associates
- Suggest and implement procedures to make office more efficient and / or cost effective
- Direct interoffice communications
- Provide direct support to the CEO and COO
