Job Summary:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will possess excellent communication and customer service skills, be adept at handling multiple tasks, and demonstrate a strong ability to maintain an efficient and professional office environment. The Administrative Assistant will provide support to the communications and compliance departments, and assist with administrative tasks to support the daily operations of our Association properties.
Key Responsibilities:
- Community & Board Relations
- Create and develop Association newsletters.
- Create and develop Board Member newsletters.
- Send community & board notices.
- Send new owner welcome packets.
- Process owner update forms.
- Administrative Support:
- Answer and direct phone calls.
- Send out mass mailings.
- Assist department team members with tasks as needed.
- Prepare and organize documents, reports, and presentations.
- Create and proofread internal and external communications.
- Maintain accurate records, including Board meeting minutes, invoices, receipts, and contracts.
- Compliance:
- Assist with enforcing Association rules & regulations by preparing violation notices and tracking to completion.
- Track leasing and pet information for applicable units.
- Communicate fines to accounting department.
- Subcontractor insurance compliance.
- Accounting:
- Accounts Payable: Enter invoices into accounting software.
- Other Duties:
- Perform other related duties as assigned.
- Provide general office support and customer service when needed.
- Stay up-to-date on company policies and procedures to assist with administrative tasks.
Required Qualifications:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong written and verbal communication skills.
- Excellent organizational and time-management abilities.
- Ability to handle multiple tasks and prioritize effectively.
- Attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.
- Strong customer service skills and a professional demeanor.
Preferred Qualifications:
- Basic understanding of office accounting or bookkeeping practices.
- Proficiency in property management software (AppFolio).
Hourly Rate:
- $18-24 per hour (Compensation based on experience and qualifications).
