MedSpa Manager – IV Drip, Aesthetics, Weight Loss, and Infrared Center

Location: Houston, TX | Schedule: Part-Time (10-25 hours per week, including weekends)

Job Summary

We are seeking an experienced and results-driven MedSpa Manager to oversee the daily operations of our IV drip, aesthetics, weight loss, and infrared wellness center. The ideal candidate has a strong background in spa management, sales, marketing, and healthcare operations, with expertise in Facebook/Instagram Ads, Go High Level CRM, and digital marketing strategies to drive business growth. Additionally, proficiency in Electronic Medical Records (EMR) systems and digital charting is required to ensure compliance and efficient client documentation.

This role requires strong leadership, financial acumen, marketing knowledge, and operational expertise to increase revenue, enhance the client experience, and ensure seamless daily operations. The MedSpa Manager must also be available to take after-hours phone calls for mobile IV drips, client support, and concierge clients to provide a premium service experience.

Key ResponsibilitiesOperations & Staff Management

  • Oversee daily spa operations, ensuring smooth workflow and efficiency.
  • Manage and optimize staff schedules to maintain appropriate coverage and productivity.
  • Ensure compliance with health, safety, and industry regulations, including sanitation and decontamination protocols.
  • Train, mentor, and evaluate staff to maintain high service and sales standards.
  • Monitor and improve customer experience metrics, including retention rates and satisfaction scores.
  • Handle after-hours calls for mobile IV drips, concierge clients, and customer support needs.

EMR & Digital Charting

  • Oversee Electronic Medical Records (EMR) and digital charting processes to ensure accurate documentation and regulatory compliance.
  • Train staff on EMR best practices, ensuring proper patient record-keeping, treatment documentation, and compliance with HIPAA.
  • Monitor client treatment history and progress to improve outcomes and enhance the overall patient experience.
  • Implement and optimize digital documentation workflows to improve efficiency and reduce errors.

Sales, Marketing & Business Development

  • Develop and implement marketing and sales strategies to drive revenue and increase client retention.
  • Manage Facebook and Instagram Ads, optimizing campaigns for maximum lead generation and ROI.
  • Utilize Go High Level CRM to automate client follow-ups, appointment reminders, and lead nurturing sequences.
  • Track and analyze key performance indicators (KPIs), including:
  • Monthly revenue growth
  • Lead conversion rates from ads and online inquiries
  • Client retention and membership sales
  • Social media engagement and website traffic
  • Lead social media and digital marketing efforts, including SEO, Google Ads, and content creation.
  • Create marketing materials, including before-and-after treatment result galleries, email campaigns, and promotional content.
  • Establish and manage B2B and B2C partnerships, community outreach, and promotional events.

Financial Management & Inventory Control

  • Supervise cash handling, invoicing, and payment processing to ensure financial accuracy.
  • Manage budgets, control inventory costs, and minimize waste.
  • Negotiate vendor and supplier contracts to ensure high-quality products and favorable pricing.

Client Relations & Customer Experience

  • Provide high-level customer service, resolving client concerns professionally and ensuring a positive experience.
  • Maintain a welcoming and organized environment for clients and staff.
  • Develop membership programs and loyalty incentives to increase repeat business.
  • Be on-call after hours for mobile IV drips, concierge services, and urgent client needs.

Medical & Compliance Oversight

  • Supervise and assist in IV drips, vitamin shots, and weight loss services as needed.
  • Ensure accurate documentation of patient records, treatment plans, and compliance with medical protocols.
  • Monitor client conditions, administer vitamin treatments, and follow up on client progress.
  • Ensure the spa adheres to all medical, legal, and ethical guidelines.

Qualifications & Requirements

  • Proven experience as a MedSpa Manager, Spa Manager, or a similar leadership role in the wellness or healthcare industry.
  • Expertise in Facebook and Instagram Ads, Go High Level CRM, and digital marketing automation.
  • Strong background in sales, marketing, and business development for beauty and wellness services.
  • Proficiency in Electronic Medical Records (EMR) and digital charting.
  • Knowledge of IV therapy, aesthetics, weight loss treatments, and infrared wellness services.
  • Financial management skills, including budgeting, forecasting, and cost control.
  • Strong leadership, communication, and team management skills.
  • Proficiency in POS systems, CRM software, scheduling platforms, and digital marketing tools.
  • Texas LVN/RN/EMT/PARAMEDIC License preferred, but not required.
  • Reliable transportation and ability to work evenings and weekends as needed.
  • Availability to take after-hours calls for mobile drips, client support, and concierge clients.
