- Receive, review, and process invoices and payment requests from vendors, suppliers, and service providers, ensuring accuracy, proper coding, and appropriate supporting documentation.
- Prepare and process vendor payments, adhering to established terms and conditions, ensuring timely disbursements via checks, electronic transfers, or coordination with the Controller.
- Manage the Capital One Relay (virtual credit card) program, ensuring proper usage and reconciliation.
- Maintain vendor accounts, including updating vendor information, addressing billing and payment discrepancies, and responding to vendor inquiries promptly and professionally.
- Process employee expense reports in Concur, ensuring compliance with company policies, verifying supporting documentation, and reconciling expenses with approved budgets.
- Reconcile accounts payable transactions with vendor statements, resolving discrepancies and ensuring all outstanding balances are accurately accounted for and cleared in a timely manner.
- Maintain organized financial records for accounts payable transactions, including filing invoices, payment records, and supporting documentation in compliance with company policies and regulatory requirements. Ensure adherence to internal controls to maintain accounting standards and report discrepancies in a timely manner.
- Assist with periodic accounts payable reports, including aging reports, payment summaries, and cash flow projections, providing up-to-date information to support financial analysis and decision-making.
- Collaborate with internal stakeholders, such as purchasing, receiving, and finance teams, to resolve issues, clarify discrepancies, and improve cross-functional processes.
- Communicate effectively with vendors, addressing inquiries or requests for information promptly.
- Identify opportunities for process improvements and automation within accounts payable, suggesting and implementing changes to streamline workflows, increase efficiency, and reduce costs.
- Perform other duties as assigned.
