What are the responsibilities and job description for the Project Manager position at Administrative Resources association?
We are looking for a contract project manager to support the implementation of a grant funded program aimed at improving single family homes in select areas in southern Indiana. The grant funded projects will be in several local communities and require occasional trips to those communities, but most work will be done in an office (85% in office). This role will lead the ongoing grant implementation, reporting, and be a key contributor to financial processes. You will work directly with grantees supporting ARa and occasionally Southern Indiana Housing and Community Development Corporation (SIHCDC) activities. Specific types of activities and skills are included below:
Activities
a) Job scoping and tracking - work closely with local contractors and licensed inspectors to ensure home projects have a confirmed job scope, contract, and timeline. Track progress to monitor that improvements are being repaired timely and on budget.
b) Manage information and paperwork flow – gather needed paperwork/information to satisfy grant requirements, and ensure project files are kept organized and complete. Serve as the point of contact for answering calls, emails, and texts (through a text service) to give homeowners updates on the progress of their applications..
c) Manage internal payment and paperwork flow – using pre-established processes and tools, move project paperwork through the payment process and ensure documentation is complete and accurate.
d) Ensure grant compliance - using pre-established processes and tools, implement key steps related to the grant to ensure we are compliant as we move through the funding process
Required Skills and Qualifications
a) Valid driver's license and vehicle required for off-site travel. We will reimburse mileage at the IRS rate but you will need to use your vehicle.
b) Project Management – ability to manage competing deadlines, devise and understand project plans, and manage multiple streams of work to achieve shared objectives.
c) Detail oriented work ethic – ability to wade into detail, document required activities, and follow through to ensure completeness.
d) Tech Savvy – ability to analyze and manage data using excel, edit PDFs, work scanners, use email and text services to your advantages.
e) Customer Focus – able to accept and adapt to changing situations and customer needs. Interest in serving customers by providing quality, timely support in a way that builds relationships and goodwill yet still meets grant compliance.
f) Strong communications skills – the ability to take technical or complicated messages and make something consumable for audiences of all types.
g) Team player attitude - ability to work well in a small team and with communities.
h) Fast Learner - ability to learn and understand complex federal programs and apply their regulations in real life
i) Trustworthy - work will include making sure that funds awarded through state and federal grant programs are following agency specific rules and regulations.
