What are the responsibilities and job description for the Purchasing Specialist position at Advance Scale?
Position Objective:
Purchasing Specialist is responsible for maintaining effective communication with Sales Team, Installation Team, Service Supervisors, and other Field and Office personnel to coordinate joint activities and exchange information, including the coordination of all activities associated with the procurement of materials and supplies for the company.
Reports to: VP of Sales & Operations
Position Responsibilities:
•Ordering of parts and equipment for service work orders, project service, and sales orders requested by Sales Department personnel, in Salesforce
•File the following in the Purchasing email account including:
oPurchase Orders requested via email
oVendor acknowledgments
oVendor order confirmations
oTracking communications
•Confirm order accuracy when vendor’s order confirmation is received
•Keep updated shared info in G drive and Salesforce•Complete inter-division paperwork (warranty, billing information, pricing, etc.)
•Ensure the accuracy of inventory valuation by location
•Verify accuracy of inventory costing at time of purchase
•Verify accurate pricing and resolve discrepancies with vendors
•Receive Purchase Order in Salesforce timely
•Complete sales order in Salesforce
•Coordinate with AP on the accuracy of the invoice vs. PO•Submit payables to AP for approval, interface and payment processing
•Process and track all RMA’s for damaged products or warranty work•Coordinate to schedule service once parts are received
Sales Responsibilities:
•Sending orders to Billing Department for deposits
•Work with Billing Department on drop ships
•Coordinate setup of new customers when Sales Team brings them onboard
•Confirm orders and communicate relevant data back to Sales Team
Environment: Duties are performed at the corporate facility in Lindenwold, NJ. Duties performed may require compliance with OSHA policies, and the use of required safety apparel and equipment.
Minimum Requirements:
•Two (2) years of work experience in a purchasing function
•Working knowledge of computer word processing and spreadsheet programs
•Ability to qualify customer needs (environment, capacity, limits, etc.)
•Possesses excellent interpersonal, phone and customer service skills
•Demonstrates reliability and aptitude to function in a fast paced, detailed environment
•Ability to handle multiple tasks at one time.
