Purpose:
The Project Coordinator supports day-to-day operations by providing administrative, organizational, and project-specific assistance. This role ensures the smooth coordination of office functions, procurement, processes, project management support, and client communication while maintaining an elevated level of professionalism and efficiency.
Responsibilities:
Administrative Support – Answers and screens phone calls, directs inquiries appropriately, and provides exceptional customer service. Schedules and coordinates appointments with clients, internal teams, and external stakeholders. Assists with database development and management, ensures accurate and up-to-date information.
Project & Estimation Assistance – Supports product research and material procurement for job startups and ongoing projects. Assists with soliciting quotes, bid document preparation, presentation, and bid bond and DBE solicitations. Coordinates with the estimating team to gather data and prepare project submissions.
Procurement & Documentation – Creates and manages purchase orders, subcontract agreements, and certificates of insurance. Tracks lien waivers, manages Primavera Submittal Exchange, and facilitates submittals as needed.
Project Management Support – Monitors job progress and maintains project tracking systems. Assists with scheduling updates, CPM scheduling, and providing progress reports to the team. Collaborates with the project management team on submissions, submittals, and final billing preparation.
Other – Other duties, roles and responsibilities as assigned.
Knowledge & Skills:
Strong working knowledge of Office 365 including Excel, Word, and Outlook, PowerPoint as well as project management software (e.g., Primavera Submittal Exchange or similar platforms).
Excellent communication (both verbal and written) to interact effectively with clients, vendors, and team members.
Strong organizational skills with the ability to manage multiple tasks and deadlines simultaneously, including a strong attention to detail to maintain accurate records and schedules.
Knowledge of procurement processes, bid documentation, and scheduling systems is a plus.
Ability to multi-task in a fast-paced environment with fluctuating priorities and deadlines.
Physical Requirements:
Primarily office-based with potential travel to jobsites or off-site events.
Ability to work in an office setting, including sitting for prolonged periods, using a computer, and handling office equipment.
Capacity to lift, carry or transport materials and equipment thirty (30) pounds or more.
Qualifications:
High School diploma or equivalent.
2 years of experience in an administrative or support role.
Associates or Bachelor’s degree in Business Administration, Project Management, or a related field preferrable. Experience with construction or project-based industries a plus.
