Clinical Operations Specialist
Location: Advanced Women’s Care, Greater Phoenix Area

Position Summary
The Clinical Operations Specialist plays a critical role in optimizing workflows, managing clinical programs, and ensuring the effective use of Athenahealth (EHR) within an outpatient Maternal-Fetal Medicine (MFM) and OB/GYN practice. This position is responsible for workflow analysis, process improvement, and program development, ensuring operational efficiency and high-quality patient care.
The ideal candidate is an Athena expert who understands clinical operations, data analytics, and best practices for electronic health record (EHR) optimization. They will collaborate with providers, clinical staff, and leadership to drive strategic initiatives, streamline processes, and enhance practice performance.
Key Responsibilities
1. Program Management & Process Improvement
- Develop, implement, and oversee clinical programs (e.g., prenatal care pathways, high-risk pregnancy protocols. Etc..).
- Lead workflow assessments to identify inefficiencies and implement solutions for provider and staff productivity.
- Establish standard operating procedures (SOPs) and best practices for patient flow, scheduling, and documentation.
- Track and report key performance indicators (KPIs) to improve clinical and operational efficiency.
2. Workflow Analysis & Optimization
- Analyze clinical workflows to enhance efficiency and patient experience while reducing administrative burden.
- Implement lean process improvement methodologies to streamline daily operations.
- Work with providers, nurses, and front-office teams to optimize scheduling, documentation, and patient throughput.
- Develop training materials and job aids to standardize workflows and ensure staff competency.
3. Athenahealth EHR Optimization & Training
- Serve as the Athena expert and primary resource for EHR troubleshooting, optimization, and training.
- Configure templates, order sets, and clinical documentation tools to improve provider efficiency.
- Develop and conduct Athena training sessions for new hires and existing staff on best practices, updates, and compliance.
- Collaborate with IT and Athena representatives to resolve system issues, integrations, and customizations.
- Complete Athena tablespace build for new integrations.
4. Clinical Quality & Compliance Support
- Ensure workflows align with regulatory requirements (HIPAA, OSHA, Joint Commission, CMS guidelines).
- Monitor clinical documentation to support quality improvement, risk management, and coding compliance.
- Assist in audit preparation, compliance tracking, and reporting on clinical performance metrics.
5. Cross-Department Collaboration & Support
- Act as a liaison between clinical, administrative, and IT teams to enhance communication and operational alignment.
- Provide support for provider productivity analysis, patient scheduling strategies, and operational enhancements.
- Work with revenue cycle teams to ensure proper coding, billing workflows, and charge capture accuracy.
Qualifications & Requirements
✅ Education & Experience:
- Bachelor’s degree in Healthcare Administration, Nursing, Business, or a related field (Master’s preferred).
- Minimum 3 years of experience in clinical operations, workflow analysis, or practice management.
- Extensive hands-on experience with Athenahealth EHR (AthenaOne), including customization, training, and troubleshooting.

- Program management expertise in healthcare settings, particularly in outpatient MFM and OB/GYN.
- Strong analytical skills for workflow assessment, process improvement, and performance tracking.
- Technical proficiency in Athenahealth EHR, including reporting, template design, and system optimization.
- Knowledge of clinical best practices, regulatory compliance, and quality metrics.
- Excellent communication and leadership skills to drive change management and staff engagement.
- Experience in Lean, Six Sigma, or other process improvement methodologies (preferred).

Pay: $73,483.00 - $84,764.00 per year
