Receptionist / HR Assistant Bilingual (Spanish)
Our Receptionist /HR Assistant is responsible for providing exceptional administrative support by assisting visitors while maintaining a positive and professional demeanor. They will be fully responsible for HR projects as assigned and will provide support to all departments.
Receptionist Responsibilities Include:
- Handle incoming phone calls and greeting visitors and guests
- Coordinate with Payroll Department for weekly paycheck pick-up and distribution
- Open and close the reception area daily
- Effectively and professionally communicate to clients and staff
- Troubleshoot employee onboarding issues by referring to our Employee Services team
- Ensure workstation cubes are ready to use by visitors to call our Employee Services team
- Escalate high level HR, PR, BN, WC issues to appropriate AdvanStaff team members
- Coordinate logistics, collateral, catering, setup, and tear-down for meetings and events
- Distribute mail and faxes daily to the appropriate individuals
- Work in company systems such as, PRISM, client space, SharePoint, Teams, OneDrive, Outlook, Qualtrics, MS Office Applications, third-party vendors, etc.
- Provide translation for Spanish-speaking visitors and non-Spanish-speaking staff
- Complete employment verifications for employees
- Order supplies for UPS and FedEx
Human Resource (HR) Assistant Responsibilities Include:
- Understanding and effectively executing internal HR department tasks and projects as assigned
- Proactively studying and learning HR concepts, processes and procedures
- Filing documents in the Document Management System (DMS) for HR, and other departments as needed
- Assisting with document destruction in accordance with company policy
- Attending HR meetings and actively participating in discussions
- Providing feedback and suggestions to streamline and improve front desk and HR proceedures
- All other duties as assigned.
Education & Experience
- A minimum of an Associate’s degree is preferred, but lesser degree and/or combination of experience will be considered depending upon background and qualifications.
- One (1 ) year of related experience is preferred, but not required. Previous experience with AdvanStaff will be considered including entry-level or service in unrelated departments.
Knowledge, skills, abilities:
- Working knowledge of Microsoft Office Suite is required.
- Must be a proven self-starter and be able to work independently and as part of a team.
- Must be detail-oriented and have effective oral and written communication skills.
- Must be able to organize, prioritize, and handle multiple duties.
- Must have shown a proven ability to manage details.
- Individual must be able to handle sensitive, confidential information in a mature, professional manner.
- Must be bilingual – Spanish.
- Must be able to lift and carry light objects.
Working Conditions:
- Must be able to work in a sitting position at a computer for extended periods of time.
- Must be able to set up front area workstations for use by visitors.
- Will primarily work in an office setting with moderate noise levels.
Additional Information:
- Full-time work in the office. No remote work availability.
