Job Overview
We are seeking a highly organized and motivated full or part time Accounting Specialist/Property Management Assistant who is also able to assist with financial matters related to accounts receivable and payable. This individual will work with the Managing Partner to ensure accurate financial reporting and assist with the daily operations of the properties.
Responsibilities
- Assist in overseeing the daily operations of the properties including scheduling tours, drafting and renewing leases, processing applications and screening potential tenants.
- Assist in handling tenant inquiries and ensuring that any issues or concerns are resolved in a timely manner.
- Assist property manager with financial management related to rent collection and budgeting.
- Maintain accurate records and reports.
- Build and maintain relationships with vendors and contractors to coordinate maintenance and repairs as needed.
- Ensure compliance with company policies and all applicable laws and regulations, including Fair Housing regulations.
- Ensure timely reconciliation of accounts, verify data accuracy, and report any errors or discrepancies identified.
- Processes payment of invoices associated with accounts payable including invoice verification, approval, and payment processing.
- Effectively communicate with vendors to facilitate smooth transactions regarding payment status, discrepancies, and other inquiries.
- Oversee Accounts Receivable and billing, including invoicing and collections
- Assist with the preparation of monthly financial reporting and analysis as needed.
- Assist with external audits and exams.
- Utilizing social media platforms and creative marketing techniques to bring awareness to both the firm and the properties.
- Perform other related duties as assigned such as scheduling appointments or assisting in the creation of PowerPoint presentations.
Qualifications
· Proficiency in office software applications such as Microsoft Office suite.
· Previous experience in property management, accounting or a related field.
· Knowledge of Fair Housing regulations.
Preferred Skills
· Ability to work in a team environment with a willingness to assist where needed to achieve desired goals.
· Experience in creating power point presentations.
· Highly organized with excellent communication skills.
· Experience in QuickBooks.
· Excellent problem-solving and time management skills.
