What are the responsibilities and job description for the Coalitions Assistant position at AEI?
Overview
The American Enterprise Institute (AEI) seeks a full-time, in-person Coalitions assistant to help promote the work of AEI scholars and facilitate our development of relationships with key leaders in think tanks, business organizations, nonprofits, community groups, and state and local government across the country.
Qualified candidates should submit a resume, cover letter demonstrating their interest in AEI’s mission, academic transcript, and 500-word writing sample on any topic. The anticipated start date for this position is as soon as possible.
Responsibilities
- Coalition-Building and Relationship Management
- Maintain team calendar, including key deadlines, upcoming Coalitions engagements, partner events, etc.
- Schedule and staff briefings with AEI scholars for external visitors.
- Participate in internal and external networking opportunities, occasionally in the evenings and on weekends.
- Serve as the primary point of contact for AEI’s alumni community.
- Marketing and Outreach
- Manage book orders as well as book and material mailings.
- Oversee giveaway campaigns and update contact information as needed.
- Write and send a variety of emails using an email marketing program.
- Research and Reporting
- Provide customer relationship management support to managers, including building reports, assisting campaigns, and organizing contacts.
- Work with managers to cultivate scholar-specific communities of interest. This will include:
- Researching new and existing stakeholders.
- Identifying potential target states for outreach.
- Researching state-level legislators, committees, and bills.
- Event Planning and Logistics
- Assist with the development, printing, and distribution of program materials.
- Curate invite lists for private events, including regional American Dream Initiative Solutions Summits.
- Staff virtual and in-person Coalitions events.
- Assist in the building and maintenance of the virtual event platform, Swapcard.
- Assist with in-person and virtual event logistics.
Physical requirements and working conditions at AEI:
- The employee is regularly expected to stand, sit, talk, hear, and use hands and fingers to operate a computer, telephone, and keyboard. This job requires close vision abilities due to computer work.
- The employee must be able to lift up to 30 pounds at times.
- The employee must be able to work in a confined area.
- Moderate noise (e.g., from computers, phone, printers, and light traffic) is expected.

Qualifications
- Bachelor’s degree (required)
- 0–2 years of previous full-time work experience—previous internship experience strongly preferred
- Demonstrated commitment to AEI’s mission
- Willingness to work in a fast-paced environment
- Experience with a contact management database, such as Salesforce, and an email marketing system like Marketo (a plus)
