What are the responsibilities and job description for the Spa Manager position at Aesthetica Medical Spa?

Medical spa and retail experience is highly preferred.

This position oversees the day-to-day operational functions for the medical spa. Customer service and, ensuring that office policies, procedures, and plans are executed in a smooth and expeditious manner to ensure every spa guest has a positive experience.

Key responsibilities include making sure the Aesthetica team is set up for success as well as other office administrative duties, including meeting financial targets and personnel management.

Our environment is busy and fast paced. We are looking for a quick learner and self-starter who doesn't require constant oversight and can quickly get up to speed on the many aspects of our business and industry. As a small business the successful candidate will be coordinating and communicating directly with the owners on a daily basis.

Responsibilities and Duties

RESPONSIBILITIES:

Staff Management

  • Daily leadership of the Medical Spa team including the Patient Support team, the providers, and other support staff.
  • Responsible for on-boarding and welcoming new team members
  • Motivate and train professional staff
  • Develop staff service or retail goals and guide staff in goal achievement.
  • Schedule staff or supervise scheduling.
  • Hold meetings on a regular basis to facilitate communication and promote collaboration between team members.
  • Uphold protocol and ethical standards.
  • Train staff in the use or sale of products, programs, or activities.
  • Regularly assess employee performance and suggest ways to improve work.
  • Watching the customer schedule to keep it booked at all times to maximize profits.
  • Coordinate with the marketing team and ownership to plan monthly strategy and promotions.
  • Carrying out regular employee reviews.
  • Coordinate with Marketing Director to develop and implement marketing strategies.
  • Recruit, interview, or hire employees.
  • Verify staff credentials, such as educational, legal, and certification requirements.
  • Establishes a high-performance team of staff that is efficient, knowledgeable, service-oriented, and shares responsibility for attaining the goals of the practice.
  • Provides leadership, guidance, and organizational expertise to all staff members. Effectively communicates departmental activities to overall staff.

Customer Management

  • Maintaining and cultivating a superior customer experience in all aspects of the customer journey.
  • Responding to all client related emails and phone calls and follow up calls
  • Working closely with sales representatives, supply orders.
  • Resolving client concerns
  • Follow up on all leads and referrals
  • Identify brand advocates
  • Maintain client databases

Practice Management

  • Look forward to new products/services/treatments that can benefit our customer(s) and provide growth for the company.
  • Plan, coordinate, and direct spa services and programs.
  • Maintain cleanliness of the facility.
  • Maintain equipment to ensure proper functioning.
  • Coordinate facility and staffing schedules to maximize usage and efficiency.
  • Maintain inventory.
  • Sell products, services, or memberships.
  • Direct facility maintenance or repair.
  • Schedule sales representatives and guest appointments.

Financial Responsibility

  • Responsible for posting and adjustments related to patient services.
  • Perform accounting duties. Reconciles day sheet with fee sheets.
  • Issues refunds as appropriate.

Qualifications and Skills

Education and Experience:

  • Management Experience: 3 years
  • Sales Experience: 3 years
  • Strong financial background, previous bookkeeping experience.
  • Extensive experience with computer systems.

Job Type: Full-time

Pay: $25.00 - $32.00 per hour
