Position Summary:

 

Affinity Management Services is seeking a highly organized and detail-oriented Administrative Assistant with Accounting Clerk duties to join our team onsite at our community. This role is crucial in maintaining accurate financial records, updating ledgers, posting payments, and interacting with residents. The ideal candidate will be friendly, professional, and possess a high attention to detail.

Key Responsibilities:

  • Maintain and update financial ledgers to ensure accurate and timely records.
  • Process and post payments from residents and other sources.
  • Provide excellent customer service to residents, addressing their inquiries and concerns professionally.
  • Perform various administrative duties to support the financial operations of the community.
  • Reconcile accounts payable and receivable records to ensure accuracy.
  • Ensure all financial activities comply with company policies and relevant regulations.
  • Customer Services in answering the phone and emails and respond to what are the properties' needs.
  • Address unit owners inquires or walk-in.
  • Help process purchases and leases applications.
  • Update Owners/Tenants in Directory or any information
  • Ability to access and accurately input information using a computer system.
  • Performs tasks assigned by management. (Excellent verbal, comprehension, listening and problem-solving skills).
  • Courier Request, return and distribute mail.
  • Work holidays and weekends if needed

Flexible schedule preferred.


Salary depends on experience.

$21.00 - $22.00


SKILLS, KNOWLEDGE & ABILITIES REQUIRED:

Education/Training/Certifications/Licenses:

  • High school diploma/GED equivalent required and Associate's or Bachelor's Degree in Accounting preferred.
  •  Previous experience in accounts payable and receivable, preferably in the property management industry preferred. 
  • Strong attention to detail and organizational skills.
  • Proficiency in accounting software and Microsoft Office Suite.
  • Amazing interpersonal abilities
  • Experience within the Property Management, Condo/HOA Law or Real Estate industries
  • Strong Administrative Support Experience
  • Familiarity with the hospitality industry is a plus.
  • Willingness to maintain confidentiality.
  • Time management skills

Language requirements:

Bilingual is desirable.


Additional Requirements:

  • Requires a minimum of (2) year’s in customer service in the hospitality industry or similar.
  • Excellent oral and written communication with interpersonal skills.
  • Empathy and friendly phone manners required.
  • Is able work with a computer hardware/software is a must.
  • Have top of the line organizational skills and handle multitasks at once.
  • Must be able to stand and move throughout office and continuously perform essential job functions with or without reasonable accommodations for the entire shift.
