Job Overview:
We are seeking a highly organized and detail-oriented Office Administrator to join our team of LGBTQ , BIPOC, and neurodiverse affirming providers at Affirming You Therapy. As an Administrative Assistant, you will play a crucial role in ensuring the smooth operation of our office. Your responsibilities will include providing administrative support, managing phone systems, and assisting with various administrative tasks. This is a full-time position with competitive pay and benefits.
Responsibilities:
- Greet visitors and direct them to the appropriate person or department
- Answer phone calls and respond to inquiries in a professional manner
- Schedule appointments and maintain calendars for staff members
- Assist with organizing and maintaining office files and documents
- Coordinate meetings, conferences, and travel arrangements
- Prepare correspondence, reports, and presentations as needed
- Perform general clerical duties such as photocopying, faxing, and mailing
- Run local errands such as picking up items from the post office
- Assist with inventory management and ordering office supplies
- Complete insurance verification check for incoming clients
- Provide information to inquiring clients on LGBTQ local and national resources
- Maintain the cleanliness of the Phoenix office, tidying and cleaning at the end of each week
- Table local resource events as needed, providing information on AY’s services
Qualifications
- Ability to create welcoming, inviting environment for clients
- Excellent communication and interpersonal skills
- Strong organizational abilities with attention to detail
- Proficiency in managing office tasks efficiently
- Adaptability to changing priorities
- Experience in coordinating schedules and appointments
- Familiarity with office software (e.g., Microsoft Office Suite, Adobe) and equipment
- Knowledge about relevant privacy, confidentiality, and mandated reporting laws
- Ability to handle confidential information with discretion
- High School Diploma or equivalent
Preferred Qualifications
- Bachelor’s or associate's degree or combination of high school diploma / equivalent and relevant work experience
- Bilingual (Spanish/English) candidates are strongly encouraged to apply.
- Knowledge of the LGBTQ community and resources is a plus.
- Previous health care or administrative experience is preferred.
Job Type: Full-time
Pay: $18.00 an hour
Expected hours: 40 hours per week
