The Office Assistant reports to the VP, Operations and supports general day-to-day office and administrative activities for the Company. The position helps facilitate smooth operations both for the Operations department and Company staff at-large. This role is integral to maintaining an efficient, professional office environment.


RESPONSIBILITIES:

  • Provide administrative support across departments as needed, including executive support, document preparation, filing and processing, data entry, and photocopying.
  • Manage the reception area, greeting guests, and informing hosts of their arrival, enhancing the visitor experience with attentive service.
  • Handle incoming and outgoing mail, packages, and deliveries, ensuring accurate distribution to recipients.
  • Maintain inventory control for office supplies, kitchen items, and other common area necessities, replenishing stock as needed.
  • Ensure meeting spaces and communal areas are prepared for use, clean, and well-maintained, including setting up necessary equipment and amenities.
  • Support the Operations team by performing regular checks of office equipment like printers and AV systems, addressing any issues in coordination with IT.
  • Assist in organizing and maintaining cleanliness in the office kitchen and communal spaces, including managing waste and recycling processes.
  • Participate actively in team meetings and collaborate on office projects and events, ensuring efficient setup and breakdown.
  • Perform errands on behalf of Company executives as needed.
  • Provide first-class support to staff and guests, anticipating needs and offering proactive assistance to ensure a smooth office operation.
  • Complete any other assigned administrative tasks to support department objectives.


QUALIFICATIONS:

  • 1-2 years proven experience as an Office or Administrative Assistant or similar role.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal abilities.
  • Good knowledge of MS Office and office management software.
  • Ability to handle multitask effectively and meet timelines.
