Office Administrator
Do you like numbers? Checklists? Processes? Proper documentation? Everything in its’ place? Aggregate Group, LLC in Raleigh is looking for you to take responsibility for the Payroll/Office Administrator role.
Aggregate Group, LLC was established in 2016 based on a vision to utilize the individual strengths and successes of our team members in order to build a positive company culture and do business better. To provide design and value engineering consultation, concrete construction, cast-in-place civil structures, sitework, structural repairs and specialty finishes, and concrete demolition.
Position Overview: The Office Administrator will be responsible for being the company point-of-contact for third-party/fractional relationships supporting communications with management, maintaining employee records, supporting hourly payroll entries, handle vendor & subcontractor file management, and assist with onboarding and offboarding. This position will also handle accounting support duties like scanning and sending invoices, input and pay overhead bills & non-project related bills, and enter payments supporting the fractional Accounting/Finance role. Will also support administrative tasks such as ordering supplies, handling vendor contracts, and assisting visitors.
Key Responsibilities:
Payroll Support
· Setting up projects so employees can clock in
· Enter and maintain Employee deductions, garnishments, etc.
· Maintain pay rates
· Produce reports for Certified payroll, as needed
Third-Party/Fractional Vendor Management
· Maintain and update records of expired subcontractor COI to ensure proper payment of renewals.
· IT/MSP (technology)
· Human Resources (as needed)
· Technology Media (website)
· Office cleaning
· Accounting/ Fractional Controller
· Triangle Risk Advisors – Company benefits (as needed)
Human Resources Support
· Add/Remove employees from all programs (payroll, project management, etc.)
· Keep track employee training, records, etc.
· Coordinate employee birthday acknowledgments
· Complete onboarding and offboarding forms
· Setup and offload employees in all program
Office Administration
· Check mail
· Greet guests of the office, as needed
· Maintain office supplies
· Maintain office equipment
· In-house notary services (AG will pay for the class, equipment and time)
· Assist with planning/coordinating/registering company events, as needed.
· Update and maintain OSHA logs and compliance boards
Qualifications:
Education:
· Bachelor’s degree in finance or business administration a plus; will consider a combination of education and experience
Experience:
· 3 years experience of working in office administration and customer service.
· 1 years of experience working in Human Resources administration
· Experience with payroll systems such as Paylocity or related programs a plus
Key Skills and Abilities:
· Proficient in Paylocity and similar payroll processing systems.
· Knowledge of entering and maintaining documentation and records efficiently.
· Proficient in managing relationships with outside vendors such as IT or HR.
· Ability to clearly communicate information needed from employees related to payroll and new hire onboarding tasks.
· Capacity to multi-task and prioritize tasks related to payroll, employee records, and COI renewals.
· Ability to complete weekly payroll to ensure employees are paid properly.
· Ability to quickly shift focus as issues or needs of the company arise.
