Job Summary

The Program Manager will provide day–to-day oversight and supervision of the operations for Agile’s Illinois division. The Program Manager will be responsible for understanding our customer needs, issues and requirements and effectively resolve and communicate to internal stakeholders, customer and suppliers. As the Program Manager you will manage all aspects of the customer and supplier relationships including contract negotiations, supplier onboarding, invoice processing, dispatching and payment to suppliers. The Program Manager will be highly organized and analytical and will ensure the consistent delivery of high quality sub-contractor management services to Agile’s customers.

Job Functions

Leadership and Management

  • Responsible for customer order management, dispatching, and invoice management services, which includes accurate and timely billing and review of vendor invoices.
  • Provides daily oversight and management to a team of professionals.
  • Develops processes and staff that are efficient and scalable to support future growth.
  • Establishes training materials and Standard Operating Procedures (SOPs) for the team.
  • Provides performance management and coaching (development, goal setting, performance reviews, corrective actions, etc.) to the team.
  • Develops and maintains positive and productive work relationships with other departments and key stakeholders.

Profitability

  • Manages the relationship with suppliers while assessing new opportunities.
  • Identifies new business opportunities and potential value-add services with existing customers.
  • Looks for ways to increase operational efficiencies and communicates improvement ideas.

Customer Service

  • Operates with a high degree of integrity and commitment to achieving and exceeding customer expectations.
  • Builds creditability and trust with customers and suppliers by delivering an unparalleled level of service.
  • Responds to customer staffing requests to ensure adequate staffing and report program successes/challenges.
  • Acts as primary point of contact for our customer and liaison between customer and sub-contractors.
  • Ensures contractual Service Level Agreements (SLAs) are met.
  • Demonstrates a commitment to continuous improvement.
  • Interacts, follows up and communicates effectively with internal and external stakeholders.
  • Conducts performance and quality discussions with customers and suppliers to ensure compliance with contracted services and deliverables.
  • Ensure the team demonstrates consistent communication, follow-up and resolution of issues in order to maintain the credibility and trust with customers and suppliers.
  • Interacts, follows up and communicates effectively with customers, suppliers and other employees to resolve escalated issues and to assess new opportunities.
  • Assist the Business Development team as the Subject Matter Expert (SME) for your assigned area of responsibility.
  • Assist IT on the development and maintenance of Agile’s spend management software.

Supplier & Order Management

  • Ensures that supplier invoices are processed and submitted to accounting for on-time payment.
  • Surveys suppliers regarding pricing, availability and delivery times to determine best and/or possible new supply sources.
  • Negotiates contracts and price agreements to enhance cost savings and quality of service.
  • Researches and resolves problems with sub-contractors and customer to ensure quality service delivery.
  • Ensures supplier statements are submitted on time and account reconciliations are performed in accordance with established guidelines.
  • Builds relationships with suppliers and sub-contractors including timely invoice payment, quality of services delivered, pricing changes and overall contract management.
  • Ensures timely delivery and removal of ordered equipment.
  • Follows up with team to ensure purchase orders are being closed in a timely manner.

Reporting and Analytics

  • Completes documentation and provides detailed and timely feedback to management and customer, ensuring issues are closed out to customer’s satisfaction.
  • Assists in development/management of the collection of information for benchmarking business processes such as performance metrics, quality costs, and customer complaints.
  • Maintains and updates the Key Performance Indicators (KPIs) and Service Level Agreements (SLAs) by contract.
  • Creates and analyzes purchase order status reports and project status reports.
  • Performs other regular or ad-hoc reporting, as necessary. Uses reports to research and interpret the data and makes recommendations for improvements.


Requirements

Job Qualifications

  • Minimum Education: Bachelor’s Degree in Business, Construction Management or related discipline.
  • Minimum Experience: 4 years leadership experience demonstrating progressive responsibility; commercial/construction/utility experience preferred.
  • Excellent interpersonal skills with the ability to present to customers and influence others.
  • Working knowledge of accounts receivable (A/R), accounts payable (A/P, and cash management preferred.
  • Leadership skills to motivate cross-departmental teams performance towards excellence and collaboration.

  • Writes clearly and concisely; edits work; presents numerical data effectively; able to read and interpret written information accurately and concisely.
  • Proven track record of solid team management experience.
  • Strong proficiency with computer skills including MS Word, Excel and PowerPoint.
  • Excellent analytical skills and attention to detail.
  • Ability to multitask, think strategically, problem solve and collaborate with team members.
  • Highly motivated, results focused and acst with a high sense of urgency.
