Job Summary:
We are seeking a proactive, organized, and friendly Front Desk Administrative Assistant to join our team. This position is vital to the daily operation of our office, providing clerical and administrative support while ensuring a smooth and welcoming front office experience for clients and visitors. The ideal candidate will be detail-oriented, able to multitask, and demonstrate excellent communication skills.
Key Responsibilities:
- Frontline Reception: Serve as the first point of contact for customers, both in person and by phone. Ensure a positive, welcoming environment for all visitors and customers.
- Phone and Message Management: Manage the office phone lines, check messages regularly, and ensure timely follow-up.
- Mail and Shipments: Retrieve daily mail from the Post Office and mailbox, date-stamp, sort, and distribute. Process outgoing mail and coordinate shipping pickups as needed.
- Office Management: Maintain a clean and organized reception area, including stocking coffee and newspapers. Order office supplies and track inventory.
- Clerical Support: Assist with data entry, including work orders and job numbers into Google Drive and accounting software. Maintain accurate records and prepare necessary reports.
- Employee Support: Coordinate employee DOT physicals, travel arrangements, and housing as required. Provide purchase orders and support project management.
- Additional Duties: Support various departments with special projects as needed and handle various ad hoc tasks as assigned.
Qualifications & Experience:
- Education/Experience: Minimum of 3 years of experience in an administrative support role, preferably with reception duties. A background in office operations and clerical support is highly desired. Additional education related to office administration is a plus.
- Technical Skills: Proficient in Microsoft Office Suite (Excel, Word) with a minimum typing speed of 45 WPM. Experience with office equipment and basic troubleshooting skills is required.
- Customer Service: Excellent interpersonal and communication skills with a commitment to providing superior customer service. Ability to handle multiple tasks with attention to detail.
