The Executive Assistant will provide high-level administrative support to three members of the Office of the CEO as well as support for the Executive Cabinet as requested. The Executive Assistant will perform a wide variety of complex and confidential administrative duties. The Executive Assistant will also serve as a liaison to the Board of Trustees and respective Standing Committees providing meeting materials and minutes. 

The ideal individual will have the ability to exercise good judgment in diverse situations with strong  written and verbal communication; administrative and organizational skills; employ realistic  prioritization strategies; manage day-to-day operations in a proactive way anticipating items needed based on the schedule of the leaders thus ensuring efficiency and effectiveness. Above all, the Executive Assistant must thrive in an environment of rapid business growth and innovation while maintaining exemplary customer service and positive relationships with leaders, employees, and guests to ensure appropriate responsiveness while maintaining confidentiality in all matters.  


Essential Functions 


● Execute a broad range of administrative tasks for the Office of the CEO including coordinating schedules using tact and  diplomacy in rescheduling meetings due to unforeseen conflicts; scheduling recurring meetings; drafting or compiling meeting materials; conference registrations and travel  arrangements.


● Ability to plan, organize and oversee a project;  


● Direct support for the Board of Trustees and other Board Committees; preparation and  distribution of Board meeting materials as well as recording and maintaining meeting minutes;  


● Liaison to the Business Office for expense reporting for travel, supplies and subscriptions.


● Arrange hospitality for Board meetings;  site visits, and our annual Research Symposium and Round Table.


● Tackle research projects requiring initiative, creativity, and problem-solving skills 


● Interface with all members of the AIM community, including Board of Trustees,  Administrators, Faculty, Staff, Students, and Parents 


● Maintain Record Retention Policy for confidential records employing a system of actions  to either redirect, store or dispose of them according to policy standards.


Qualifications 

Experience: A minimum of 5 (five) years of relevant experience 

Education: Bachelor's degree or Masters of Business Administration


● Experience with integrating several calendars for scheduling; 

● Project management experience required;

● Excellent attention to detail; 

● High degree of initiative to anticipate needs and respond accordingly; 

● Ability to maintain confidentiality and handle sensitive issues with appropriate discretion; 

● Ability to independently plan, organize, and coordinate multiple tasks; 

● Excellent communication, organizational and time-management skills; 

● Ability to work efficiently and quickly under pressure; 

● Experience in educational and/or non-profit setting preferred;

● Ability to work with faculty, staff, and professionals to promote diversity, equity, and  inclusion in the workplace.
