Job Summary
We are expanding our successful staff with a Program Manager to serve a mid-sized scientific society. Focus of the position is supporting Ph.D./M.D. scientists who are developing select courses for the American College of Toxicology (ACT) and assisting with speaker support for the ACT Annual Meeting and committee-related activities.
The AIM team provides excellent service to its clients and their members from corporations, government, and academia. Experience working with associations including their Board of Directors, committees, and speakers is preferred. Successful candidates will have a working knowledge of databases and Microsoft Office suite, and the ability to interface with AIM senior staff and clients. A proven track record of focusing on details and multi-tasking while meeting concurrent deadlines is a must in our fast-paced environment. Excellent opportunity for growth and advancement.
Key Responsibilities
- Interface with and support scientists who are developing courses and other scientific programming
- Correspond with speakers to coordinate collection, compilation, and distribution of speaker bios, PPT presentations, and course materials
- Collaborate with meeting planners regarding instructional requirements to ensure room set-ups and accoutrements are appropriate for programming and attendees
- Prepare meeting letters, e-certificates, and thank you notes to attendees and speakers
- Support committee activities, which may include Zoom technical assistance, minute taking, etc.
- Prepare variety of reports and materials, including financial, for budgeting and meeting planning
- Provide customer service and support for various client programs
- Other duties as assigned
Requirements
- BS/BA degree preferred
- Two to three years of work experience in a scientific or education setting
- Travel to a meeting each November is required
- Travel to course(s) as required
- Prolonged periods of sitting at a desk and working on a computer
- Must be able to lift 15 pounds at times
- Must be able to access and navigate all areas of the facility and the sites of assigned client meetings
- In office work with option of partial remote work after three months of employment
