Commercial HVAC Contracting Company looking for a mature and optimistic individual for the role of Office Administrative Assistant. The ideal candidate will be an out-going individual that is organized, self-motivated and hard-working. This role has broad job scope and requires a “can do” attituded.

Qualifications:
- Required experience in Payroll
- Required Accounting Experience - Accounts Payable and Receivable
- Required experience in paying weekly, monthly, quarterly taxes
- Required Familiar with the workings of Contracting
- Required Knowledge of submittal data, operation & maintenance manuals, warranties, etc.
- Energetic self-starter with a strong work ethic, team orientation and commitment to high quality
- Proven experience as Office Assistant
- Working knowledge of office equipment
- Proficiency in MS Office (MS Excel, MS Word, MS Outlook)
- Excellent written and verbal communication skills
- Strong organization skills with the ability to multi-task
Duties include, but are not limited to:
- Provide support to the Office Manager
- Answer and direct phone calls
- Write and distribute emails
- Sort and distribute communications in a timely manner
- Maintain filing system
- Provide general support to visitors
- Monitor level of supplies and handle shortages
- Maintain trusting relationships with suppliers, customers and colleagues
- Employment applications
- New hire packages and employee introductions
- Assist with accounts payable and receivable
- Assist with paying weekly, quarterly, and yearly taxes
- Creating weekly certified payroll reports
- Assist with weekly payroll
- Create Purchase Orders, track W-9 and Certificates of Insurance as needed from Subcontractors
- Request Certificates of Insurance and Bonding from Insurance Agency as needed
