Founded in 2002 in New Hampshire, we are a rapidly growing professional services HVAC construction company specializing in an extremely niche market for measuring airflow in commercial buildings and energy savings in commercial kitchens. While our headquarters is in Auburn, New Hampshire, we have a strong presence across the country with numerous offices serving both regional and national accounts. Our two unique divisions, and are rapidly expanding across the country as we hire and train our new technicians in our own training center at our Auburn office.
Our CEO is the company’s visionary and growth strategist. Assisting him in all necessary corporate functions, as well as some personal tasks will be instrumental in achieving the company vision.
The Assistant to the Chief Executive Officer serves as a trusted partner to the CEO, providing a wide range of high-level professional and personal administrative support. The Assistant oversees and streamlines internal processes and operations, ensuring efficient management of the CEO’s schedule. The Assistant plays a pivotal role in optimizing the productivity and effectiveness of the CEO, contributing directly to the success of our organization’s mission and goals. The Assistant will professionally represent the company, exercising confidentiality, discretion, and sound judgment in a variety of areas.

You must have performed the job as an executive assistant in the past with at least 10 years’ experience. You must have traveled often for your personal or professional life.
To be successful in this role, you should be extremely well-organized, have great time management skills, and be able to act without guidance. You should be a confident person with great curiosity to always find a better way to help solve issues. You will contribute to the efficiency of our business by providing timely, personalized support to the CEO.
While this position is a remote, work from home position, you must live within one hour of the Auburn, New Hampshire corporate office. We have newly started technicians who come to our office for training and other office events on an infrequent basis.
Responsibilities:
- Functions as the point of contact among executives, employees, clients, and other external partners.
- Manage information flows in a timely and accurate manner.
- Take meeting minutes during some CEO video calls and send professional follow-ups.
- Follow up on all agreed upon accountability items during meetings, emails, correspondences.
- Email Inbox Management, promptly reads, responds and manages all correspondence (Including email correspondence, phone calls, voicemails, mail etc.). Traces and manages timely responses to emails, doing so with a high level of written, verbal and digital communication skills, demonstrating technological fluency.
- Conduct research, compile data, and prepare reports as needed.
- While the job is mostly during business hours, the assistant needs to be flexible and exhibit an always willing to help attitude even sometimes off hours.
- Prepare and edit correspondence, presentations, and other documents.
- Coordinate with internal departments and external partners, maintaining positive working relationships.
- Organize and manage special projects assigned by the CEO.
- Attend virtual meetings with the CEO, take notes and follow up on action items.
- Perform personal tasks for the CEO as assigned.
- Possibility of infrequent travel for various meetings.
Required skills, abilities:
- Fluent in English reading, writing, grammar. Spelling mistakes are not acceptable.
- Spanish skills a plus, but not necessary.
- Bachelor’s degree preferred.
- Excellent Microsoft Office knowledge. Word, Excel, PowerPoint, SharePoint
- Very detailed. Double checks work before sending!!!
- Ability to discern MS Outlook email functions. Junk emails, important ones.
- Ability to effectively communicate with solicitors, by phone or email.
- Overall great computer skills.
- Experience with Microsoft SharePoint a plus.
- Outstanding organizational and time management skills
- Ability to organize and manage a project or team function.
- Discretion and confidentiality.
- Working knowledge of Marketing and Social Media functions a plus.
- Minimum of 10 years’ experience supporting a senior level executive.

Pay: $75,000.00 - $120,000.00 per year
