Overview
We are seeking a detail-oriented Accounts Receivable Administrative Assistant to join our team. The ideal candidate will have a strong background in billing, coding and responsible for managing all aspects of accounts receivable, ensuring accuracy and efficiency in financial transactions. The role works in a highly collaborative office where accounts receivable is the primary responsibility, and other administrative duties of a busy office environment.
QuickBooks experience a plus.
Responsibilities:
- Prepare and send out invoices
- Reconcile accounts receivable ledger to ensure all payments are accounted for and properly posted
- Investigate and resolve any discrepancies or issues
- Monitor customer accounts for non-payment and delayed payment
- Generate financial reports related to accounts receivable status
- Review and process invoices to be sent to customers.
- Ensure accurate coding per department and services.
- Assist collections and follow up on unpaid invoices.
- Maintain customer records and verify contact information.
Skills
- Proven experience in accounts receivable management, including invoicing, payment tracking, and account reconciliation.
- Strong organizational skills with the ability to manage multiple tasks and priorities in a fast-paced environment.
- Detail-oriented with a high level of accuracy in managing financial data, including payments, contracts, and customer accounts.
- Service-oriented mindset, focused on delivering excellent support to customers, clients, and the other team members, with the ability to handle inquiries and resolve issues in a professional manner.
- Proficiency with accounting software and office applications, including QuickBooks, Microsoft Excel, and other relevant tools used in financial management. Experience with Service Trade a plus.
- Ability to work independently and collaboratively in a team environment, showing a high degree of initiative in problem-solving and process improvement.
- Comfortable in a high-paced work setting, capable of meeting deadlines and managing time effectively in a dynamic and changing environment.
Job Type: Full-time
Pay: $21.00 - $25.00 per hour
Expected hours: 40 per week
