Primary Purpose:
To contribute to the effective operations of the Maintenance Services Department by managing an efficient clerical support staff.
Education/Certification:
- High school diploma or GED
- Some college or business school training preferred
- Must have an Associate’s Degree or have a minimum of 48 semester hours of higher education coursework or pass a district test preferred
Special Knowledge/Skills:
- Proficient in operating common office equipment and machines
- Available for emergency or overtime work
- Ability to use software to develop spreadsheets, databases, and do word processing
- Knowledge of computer programs and safety requirements for office operations
- Ability to multi-task numerous complex administrative activities
- Ability to prioritize workflow to address the multiple needs of the department
- Familiar with utility budgets, forecasting, and accounting practices
Experience:
- Experience in management of office procedures and personnel practices preferred
- Minimum of three (3) years’ experience working in the Alief Maintenance Department preferred
Major Responsibilities and Duties:
Records, Reports, and Correspondence
- Assist the director by screening incoming telephone calls and perform word processing, spreadsheet, data management, and other computer applications.
- Must be knowledgeable of state procedures in purchasing or selling district vehicles and be able to prepare all legal paperwork required.
- Prepare paperwork for Worker’s Compensation claims, Medical Leave of Absences, Exit Interviews and periodically follow up on status of same.
- Establish, implement, and supervise record keeping procedures.
- Develop and implement new programs and procedures applicable for efficient office operation.
- Maintain good relations with district employees, district vendors and patrons by courteous/prompt handling of questions and requests.
- Request repair and upkeep of buildings and equipment when necessary.
- Perform work in a correct, neat, and safe manner.
- Comply with established policies and procedures.
- Maintain a calendar of department activities and staff schedules and make appointments as required. Make meeting arrangements including arranging and setting up facilities and equipment as needed.
Personnel Management
- Coordinate and instruct the daily performance of office clerical support personnel.
- Coordinate job training for clerical support personnel.
- Maintain staffing records and assignments of department employees.
- Communicate with all staff to explain procedures to ensure effective operation of the department.
- Work cooperatively and congenially with other office personnel.
- Maintain confidentiality of information.
Accounting
- Perform routine bookkeeping tasks and maintain department budget records in an accurate manner.
- Order office supplies for department. Prepare purchase orders and payment authorizations as directed.
- Compile and report time records, including leave requests and reports. Prepare payroll data on department employees.
Other
- Follow district safety protocols and emergency procedures.
- Maintain an appropriate level of technology competence to meet the current and future needs of Alief.
- Implement alternative methods of instruction as needed.
- Performs other duties as assigned.
Hiring administrators review applications, interview, and recommend for hire.

Salary Range: Min-$38,688 Mid-$46,884 Max-$55,086 (Based on previous experience)
