Primary Purpose:
Under minimal supervision assist with the hiring process of applicants. Provide clerical services to the certification and employment specialists.
Qualifications:
Education/Certification:
- High school diploma or GED
- Must have an Associate’s Degree or have a minimum of 48 semester hours of higher education coursework or pass a district test
Special Knowledge/Skills:
- Ability to communicate effectively
- Ability to operate multi-line phone system
- Ability to use personal computer and software to develop spreadsheets, databases and do word processing
- Access and keep employee information confidential
- Assist with Human Resources and Hiring related tasks
- Assist Certification Officer and Employment Specialists
- Proficient in keyboarding, 10-key numerical data entry, and file maintenance
- Professional demeanor and appearance
Experience:
- Two (2) years’ experience at clerical level
Major Responsibilities and Duties:
Human Resources
- Assist with certificate data entry.
- Assist with the management of the DPS F.A.C.T. Clearinghouse.
- Assist with the management of paraprofessional certifications.
- Assist with processing and maintaining applications and supporting documents and notifying applicants as needed.
- Maintain records and certification progress of district’s Associate Teachers.
- Assist Employment Specialists with the New Hire Sessions.
- Assist the Certification Specialist with the tracking of employee certifications, testing, and permit status.
- Assist the Certification Specialist with submitting and tracking emergency permits.
- Assist the Human Resources Receptionist with printing and distributing ID badges to employees and contractors.
- Maintain confidentiality.
Records and Reports
- Assist with the Input of data into the certification system.
- Prepare correspondence, forms, and reports following district standards and requirements.
- Compile, maintain, and file all reports, records, and other documents as required.
- File, copy, and shred documents following district standards and requirements.
Other
- Maintain confidentiality.
- Handle all questions and requests in a prompt and courteous manner.
- Follow district safety protocols and emergency procedures.
- Maintain an appropriate level of technology competence to meet the current and future needs of Alief.
- Implement alternative methods of instruction as needed.
- Perform other duties as assigned.

Performance of this job will be evaluated in accordance with provisions of the Board’s policy on evaluation of Non-Instructional Paraprofessional Personnel.

Posture: Prolonged sitting; occasional kneeling/squatting, bending/stooping, pushing pulling, and twisting

Lifting: Moderate lifting and carrying (up to 15 pounds); May require occasional heavy lifting and carrying (15-45 pounds)
Environment: May work prolonged or irregular hours; frequent districtwide travel
Mental Demands: Work with frequent interruptions; maintain emotional control under stress
