Position Summary:
As the Online Order Coordinator, you’ll play a vital role in ensuring every order is correctly confirmed, updated, and moved along our workflow. You’ll be responsible for verifying order information (especially VINs), following up with customers if anything is missing or incorrect, and providing timely responses to eBay inquiries. You’ll also monitor overdue shipments to help keep our turnaround times on track and maintain strong customer satisfaction.
Key Responsibilities:
- Review and confirm all incoming orders (from website and eBay) already imported into QuickBooks.
- Verify critical vehicle information, especially VINs, and follow up with customers by phone when details are missing.
- Handle all customer communication through eBay messages, ensuring quick, professional responses.
- Monitor the "Awaiting Shipment" tab on eBay, with a focus on any orders due within 24 hours or overdue. This role requires the ability to move throughout the office (including stairs) to communicate directly with processing staff and ensure orders are being expedited when necessary.
- Proactively contact customers if a delay in shipping is anticipated.
- Collaborate with our internal team to ensure orders are moving efficiently through the process.
Requirements:
- Strong attention to detail and organizational skills.
- Comfortable making phone calls and speaking with customers directly.
- Previous experience with eBay or other online marketplaces is a plus.
- Familiarity with QuickBooks (or willingness to learn).
- Ability to multi-task and adapt in a fast-paced environment.
- Bilingual (English/Spanish) required.
- Must be physically able to move around the office and communicate with other departments in person.
