Job Summary:

We are seeking a detail-oriented and experienced Accounting Specialist with a strong working knowledge of QuickBooks Desktop. This position requires 2-3 years of hands-on experience in accounting, with a focus on maintaining accurate financial records, processing transactions, and generating reports. The ideal candidate will possess strong organizational skills, a solid understanding of accounting principles, and the ability to work efficiently in a fast-paced environment.


Key Responsibilities:

  • QuickBooks Desktop Management:
    • Manage and maintain daily accounting tasks within QuickBooks Desktop, including accounts payable, accounts receivable, bank reconciliations, and payroll processing.
    • Import API bridge component data resources.
    • Prepare financial reports (balance sheets, profit and loss statements, trial balances) using QuickBooks Desktop.
    • Assist accountant with periodic reporting and year-end closing procedures.
  • General Accounting:
    • Review, classify, and record financial transactions to ensure accuracy and compliance with company policies and accounting standards.
    • Reconcile and analyze general ledger accounts and balance sheets.
    • Manage billing, invoicing, and collections, ensuring timely receipts.
  • Reporting & Analysis:
    • Generate periodic financial reports and assist with forecasting and budgeting.
    • Provide support in preparing financial statements for management review.
    • Track project level costs and prepare reports for project managers.
  • Collaboration:
    • Work closely with other departments to ensure shared financial workflow data is accurate and updated.
    • Collaborate with senior management staff on special projects and process improvements.
    • Assist with other with other administrative and general office tasks when necessary.

Required Qualifications:

  • 2-3 years of experience working with QuickBooks Desktop (must have hands-on experience).
  • Strong understanding of general accounting principles and practices.
  • Proficient in Microsoft Office Suite, especially Excel.
  • Ability to manage multiple tasks and deadlines in a fast-paced environment.
  • Excellent attention to detail and problem-solving skills.
  • Strong communication skills, both written and verbal.
  • Ability to maintain confidentiality and handle sensitive financial information with discretion.

Preferred Qualifications:

  • Experience with payroll processing and tax filings, Certified Payroll is a plus.
  • Familiarity with QuickBooks API interface software components and other systems is a plus (e.g., Zapier, Google Sheets, Go Canvas or similar forms apps, CRM and HR packages, etc.).
  • A degree in accounting, finance, or a related field is preferred but not required.
