What are the responsibilities and job description for the Customer Service Rep/Dispatcher position at All Pro Cooling & Heating, LLC?
We are seeking a customer service representative / dispatcher to join our growing HVAC service department. This position is responsible for handling customer interactions, scheduling service calls, and dispatching technicians to scheduled jobs. The ideal candidate will have a strong background in customer service and some knowledge of HVAC systems, troubleshooting, and common maintenance issues.
Responsibilities
- Receive and process service requests via phone calls, emails, and website inquiries.
- Schedule service appointments and sales leads efficiently.
- Manage and maintain the dispatch board to ensure a smooth flow of appointments.
- Work with warehouse and service manager to coordinate ordering parts / deliveries for technicians, and coordinate the rescheduling of incomplete jobs.
- Provide interested customers with detailed information regarding maintenance programs, seasonal promos and incentives.
- Answer and direct calls to other departments (new construction, accounting, warehouse, etc.).
- Provide support with general administrative tasks.
Qualifications
- Strong communication and phone etiquette skills.
- Proficiency in logistics and dispatching.
- Familiarity with HVAC systems and customer service best practices.
- Competence in using multi-line phone systems and data entry tools.
- High school diploma or equivalent.
- At least 2 years of customer service experience, HVAC or construction-based industry preferred.
- Proficiency with Microsoft (Excel, Word, Outlook, Teams)
- Ability to multi-task efficiently, stay organized, and problem solve in a fast-paced environment.
- Professional written and verbal communication skills, bilingual (English/Spanish) preferred.
