Job Summary
We are seeking a detail-oriented and proactive Parish and Property Administrator to join our team. The ideal candidate will manage the daily office operations of our church, including both English- and Spanish-speaking congregations. This position will enable the smooth functioning of All Saints Episcopal Church, Todos los Santos Iglesia Episcopal, and the community service organizations and ministries using our building, collectively the All Saints Community Center. The position includes office management, property management, recordkeeping and light bookkeeping. This position requires strong organizational skills, the ability to communicate effectively, and basic property and facility use management skills. This is a bilingual position.
Responsibilities
- Handle office administration, including office correspondence, phone, mail and email, supply ordering, preparation of reports, and filing.
- Keep congregational databases updated and handle all record keeping, including both Parish and property files (facilities use agreements, maintenance logs, background check and training records, etc…).
- Manage facility user relations, addressing inquiries and resolving issues promptly.
- Coordinate property maintenance requests and ensure timely completion of work orders. Coordinate with janitorial services to insure timely clean-up for regular use.
- Perform light bookkeeping duties, including bill payment requests, preparing check requests, receiving checks, having them signed, and distributing them.
- Work with Rector/Sr. Pastor and church board to publicize and enhance facility use.
- Create and send weekly electronic newsletter and create, print, and assemble church service bulletins.
Experience
- Proven experience in office and/or property administration or a related field is preferred.
- Familiarity with Macintosh operating system, MS Word and Excel, MailChimp, and Zoho email programs.
- Proficiency in Realm church management software is highly desirable.
- Strong organizational skills with the ability to manage multiple tasks efficiently.
- Excellent communication skills, both written and verbal, are necessary for effective congregation and building user interactions.
- Ability to keep confidences and secure confidential materials.
