team of professionals. As we continue to grow, we are looking for an Office

Administrator to join our team and play a crucial role in ensuring the smooth operation

of our office.

Position Overview:

As an Office Administrator, you will be an integral part of our team, reporting directly to

the President. We place a strong emphasis on attention to detail, accuracy, and

outstanding customer service. The ideal candidate will have a polite and pleasant

disposition, as they will be the face of our organization to our valued customers.

Key Responsibilities:

  • Answer and route customer calls to the appropriate personnel, ensuring

excellent telephone etiquette.

  • Receive and acknowledge customer orders promptly and courteously.
  • Effectively communicate customer orders to the sales and service

departments, ensuring smooth order processing.

  • Enter orders into the MYOB Accounting program with a high degree of

accuracy.

  • Record invoices and process customer payments in the MYOB Accounting

program, maintaining impeccable financial records.

  • Enter and process vendor invoices in the MYOB Accounting program, ensuring

timely payments.

  • Run bi-monthly collections from the MYOB Accounting program to manage

outstanding accounts.

  • Organize and route all payable and receivable paperwork, maintaining an

efficient filing system.

  • Handle daily mail distribution and prepare deposits, ensuring the security of

financial transactions.

  • Maintain and update the service log, facilitating efficient communication

between customers and the service department.

  • Cultivate and maintain excellent relationships with customers and the service

department, practicing outstanding interpersonal communication skills.

  • Be flexible with work schedules and ready to perform additional duties as

needed.

  • Willingness to undergo training and acquire additional skills as required.

Qualifications:

  • High school diploma or equivalent; additional education or relevant

certifications

are a plus.

  • Proven experience in office administration or a similar role.
  • Proficiency with MYOB Accounting software or similar accounting software is

preferred.

  • Excellent communication skills, both written and verbal.
  • Strong attention to detail and accuracy.
  • Polite and pleasant disposition with a customer-centric approach.
  • Ability to work well within a team and adapt to changing priorities.
  • Strong organizational and time management skills.
  • Flexibility and a willingness to learn and grow.
