Roofing Construction Administrator (Low Slope)
Location: Taylors, SC (Full-Time, In-Office)
About the Role:
We're looking for a highly organized and detail-oriented Roofing Construction Administrator to keep our low-slope roofing projects running smoothly from start to finish. You'll be the backbone of the operation, ensuring seamless coordination between project managers, field teams, clients, and vendors. This role is perfect for someone who thrives on keeping things organized, hitting deadlines, and making sure every project detail is accounted for.
What You'll Be Doing:
Project Coordination & Documentation
- Maintain and update the Job Activity Report to ensure smooth project execution.
- Track project deadlines, ensuring all required paperwork (contracts, permits, warranties, safety compliance) is submitted on time.
- Assist with submittals, shop drawings, warranties, RFIs, and change orders to ensure nothing falls through the cracks.
- Keep a detailed pipeline of sales activities in collaboration with the VP of Accounts.
Vendor & Subcontractor Management
- Obtain and review subcontractor onboarding packets to ensure compliance.
- Verify vendor invoices against purchase orders and work completed.
- Coordinate material orders and delivery schedules with suppliers.
Financial & Administrative Support
- Assist with budgeting, invoicing, and purchase order tracking to keep projects on budget.
- Review and distribute vendor invoices before submission to accounting.
- Ensure accurate job cost tracking and work-in-progress reporting for project transparency.
- Facilitate the monthly billing process to ensure timely payments.
Team Collaboration & Communication
- Work closely with the Operations Administrator to manage workload distribution.
- Schedule necessary training for divisional team members.
- Act as the division liaison to the accounting department, ensuring seamless financial processing.
- Coordinate with the Safety Manager and Service Department to ensure compliance and efficiency.
- Oversee and manage Buildertrend activities within the division.
What You Need to Succeed:
Experience: Prior experience in construction administration (roofing experience is a plus).
Software Skills: Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and construction management software like Buildertrend & QuickBooks Online.
Industry Knowledge: Familiarity with roofing materials, methods, and industry regulations is a plus.
Strong Organization: You're a pro at multitasking, keeping projects on track, and maintaining airtight documentation.
Communication Skills: You can clearly and confidently coordinate between teams, vendors, and clients to ensure smooth project execution.
