ROLE TITLE: Academic Building Coordinator (Oddfellows/Arnold)

POSITION REPORTS TO: Associate Provost

Summary of Position

The Academic Building Coordinator provides administrative support for the English department, Music department, and Women’s, Gender, & Sexuality Studies (WGSS) department. Administrative support includes assisting department chairs with maintaining records, scheduling events, and routine office functions. The Building Coordinator is the point of contact for room scheduling in the Oddfellows building, the Arnold Hall of Music, and Ford Chapel. They are also the liaison with Physical Plant, Housekeeping, and ITS to report maintenance, cleaning, and technology needs, respectively, for the Oddfellows building and Arnold Hall.

As the Academic Building Coordinator, you will:

  • Manage building spaces. Manage the scheduling and accessibility of rooms and spaces. Maintain building signage. Serve as point of contact for building upkeep; including, but not limited to: weekly walkthrough of building to identify and notify needs to appropriate parties (Housekeeping, Physical Plant, ITS).
  • Serve as the point of contact for departmental needs. This includes: responding to all communications or queries (phone, email, and in person), maintaining files, monitoring and purchasing office supplies, monitoring copiers, handling mail distribution, maintaining an up-to-date web presence, managing student instrumental needs, and administering the Music student evaluation survey.
  • Schedule department and program meetings or events, such as rehearsals and concerts, and senior project orals. Facilitate creation and distribution of meeting and event related materials.
  • Coordinate special lecture/visitor events and department-sponsored excursions. This may include: managing itineraries, communicating with travelers or attendees, assisting with travel logistics (transport, lodging, meals).
  • Provide administrative support for faculty searches, including visit logistics. Assist the chair with new faculty onboarding.
  • Hire, train and supervise student workers.

Experience and Qualifications

  • High School diploma required
  • 1-3 years of relative experience to the position
  • Strong organizational and planning skills
  • Strong interpersonal skills
  • Problem solving and decision-making skills
  • Experience with office administration (word processing, copying, scanning, filing, etc).
  • Ability to work effectively and positively in a highly collaborative environment
  • Ability to learn how to use new software (Google suite of products, WordPress, videoconferencing, Microsoft Office, etc)
  • Ability to communicate clearly and effectively
  • Ability to foster an inclusive and welcoming work environment

YOUR COMPENSATION

New hires are typically brought into the organization at a salary between the range minimum and the salary range midpoint depending on qualifications, internal equity, and the budgeted amount for the role.

This is a non-exempt position and the rate for this position is $15.80 per hour.
