Position: Administrative Clerk

Department: Administration

Reports To: Allendale County Administrator

FLSA Status: Full-time (Exempt)

Salary: $15 - $17 per hour

Administrative Clerk

Job description

An administrative clerk will perform a variety of clerical and assists with accounting tasks, including:

  • Assist with recording and processing financial data: Assist in recording, review, and processing financial transactions, documents, and reports as directed
  • Assist with recording prepare financial reports: Gather preliminary documentation for the preparation and editing of financial, statistical, and other reports. Prepare invoices for processing, assist in reconciliation with ledgers processes, bank statements , gathering and attaching supporting documentation as directed.
  • Assist with maintaining accounts: Gather necessary information and documentation for maintaining balances, reconciling accounts, and posting data to general ledgers as directed.
  • Assist with providing technical support: Serve as a technical liaison for IT and administration to provide information for staff and others, relate responses to inquiries as directed.
  • Assistant with ensuring compliance: Assist in providing administrative knowledge related to and ensure compliance with all applicable laws, rules, and procedures as directed.
  • Assist with processing payroll data: Review timesheets for completion, time entry and leave submissions. Verify accuracy of any changes and adjustments requested.
  • Customer Service: Provides exceptional customer service when answering the phone and documenting vendor concerns about invoices and the public for administration as directed.

Other tasks that an Administrative clerk may perform include:

  • Assist with computing averages, percentages, and decimal conversions
  • Assist with verifying disbursements, expenditures, and data processing reports
  • Assist with preparing invoices, receipts, vouchers, and bank deposits
  • Assist with screening for special review expenditure or reimbursement requests
  • Assist with processing, typing or inputting purchase order requests
  • Assist with reviewing employee travel vouchers
  • Assist with preparing merchandise and service vouchers for payment
  • Preliminarily tabulating and examining specific sections of accounts
  • Demonstrates effective use of social and interpersonal knowledge and skills.
  • Assist with other duties as needed and directed.

Knowledge, Skills and Abilities

Assist with computing averages, percentages, and decimal conversions

  • Some knowledge of office policies, procedures, rules, regulations, and equipment.
  • Some knowledge of accounting/bookkeeping principles and practices.
  • Some Knowledge of Data entry, filing and ability to proficiently apply mathematical concepts. Basic ability to interpret and apply financial procedures and regulations.
  • Ability to communicate effectively both orally and in writing.
  • Willingness to complete assigned tasks as directed and in a timely manner.

Minimum Requirements

A high school diploma and entry-level experience in administrative duties. Entry level Accounting or bookkeeping experience. Equivalent combination of certification, training, education, and/or experience. A bachelor's degree with multiple accounting courses may be substituted for required work experience.

· Other office duties as needed.
