Job Summary:
The Administrative Assistant manages the front desk, and works in collaboration with medical, clinical, and corporate staff to provide quality support to adult patients through consistent communication.
Supervisory Responsibilities:
- None.
Essential Duties/Responsibilities:
- Establishes positive relationships and rapport with patients, and staff.
- Respects the rights of individuals, including the ethical aspects of boundaries, care, treatment, and services, allowing the patient to be a major part of their treatment and recovery.
- Respects patient privacy, confidentiality, and HIPAA as core values of our company.
- Manages the front desk welcoming visitors, vendors, and staff.
- Professionally communicates via written, verbal, and electronic methods, with all staff.
- Stays organized while working on multiple projects;completes tasks in a timely manner.
- Always maintains confidentiality of sensitive company information.
- Implements safety and emergency procedures during fire, severe weather, or workplace violence drills or actual events.
- Other administrative responsibilities include ordering office supplies, calling on vendors for office equipment, and other office duties.
- Attends occasional staff meetings.
- Regular attendance is essential to the success of the position.

Required Skills/Abilities/Competencies:
- Sensitive to cultural diversity – being aware of and respecting cultural differences.
- Ability to be non-judgmental and provide care and compassion with chemically dependent individuals during and after detoxification.
- Ability to have standard competencies visually verified within 90 days of hire. Includes, but not limited to, ethics, empathy, problem solving, social, communication and attention to detail. Other competencies in customer service and independent & professional discretion/decision making are critical to this role.
- Knowledge of data management using Microsoft office suite for professional presentation of data reporting and analysis.
- Able to read, analyze and interpret policies and instructions.
- Ability to read, understand and complete annual online compliance training.
- Open to feedback and responds appropriately.
- Excellent interpersonal and customer service skills within visitors, the team, and patients.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to function confidently in a high-paced and at times stressful environment.
Education and Experience:
- High school diploma or GED, required.
- Previous experience working as an administrative assistant or in a front desk capacity, required. Two-year degree or professional certification, preferred.
- Valid, unexpired driver’s license, at all times.
- Occasional travel to meetings, picking up supplies, driving to the airport, etc. using company vehicles whenever possible.
- Proficient with Google Business Suite, Microsoft Office Suite and/or related software.
- Proficient with QuickBooks software.
Physical and Environmental Requirements:
- Prolonged periods of sitting at a desk using a computer.
- Occasional standing and moving.
- Proper lifting, carrying, pushing, pulling techniques up to 25 pounds.
- Execute proper hand hygiene.
- Experiences periods of high stress.
- Teamwork and individual motivation are critical to the success of this position.
