SUMMARY
Responsible for providing a wide variety of support services and office functions to include typing, data entry, copying and answering phones.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Administrative/Operations Support: Assist with updating administrative and operational documents, such as updating Administration desk manuals as well as other records and special projects including PowerPoint presentations, managing annuity correspondence for Financial Planning New Business case management teams, grade “D” processes, cheat sheets, employee information audits; including titles, roles, extensions, fax, all areas of the phone, Contact Manager, business cards and email signatures.
Telephone and Customer Service Support: Answer phones, screen and direct calls to the appropriate employees; Take and relay messages; Provide information to callers; Greet and assist visitors with badges, beverages, coats, etc.; and Maintain receptionist area of the office; Assist with covering rest and meal breaks for the receptionist/telephone operator and as a back-up to the front desk receptionist during absences and high volume periods; Manage and maintain conference rooms.
Special Projects: Work collaboratively with fellow staff to advance the values and mission of Senior Market Sales by serving on relevant internal and external committees; Assists with special projects/assignments, including weekly Team Leader meeting agenda and set up and others as requested by members of management.
Performs other duties as assigned by management.

QUALIFICATIONS
EDUCATION / EXPERIENCE
High School Diploma or GED
Three (3) or more years of administrative experience
SKILLS
Working knowledge of insurance services industries.
Knowledge of the general industry procedures, practices and terminology.
Skill in negotiating and problem solving to resolve internal and external conflicts.
Skill in the use of office equipment including computer, fax, printer, scanner, multi-line telephone system, etc.
Skill in the use of time management and organization skills.
Skill in maintaining effective working relationships with Senior Market Sales personnel, vendors and the general public.
Proficient computer skills (Microsoft/Word, Excel, PowerPoint, Adobe Acrobat, MS Outlook software preferred).
Ability to accurately type 50 wpm.
Ability to keep work filing current and accurate.
Ability to communicate effectively, both orally and in writing, in a constructive manner.
Ability to approach and communicate with a wide range of personalities in a professional and courteous manner.
Ability to be patient under frustrating circumstances and demonstrate controlled emotional affect in difficult situations.
Ability to engage in effective interpersonal interaction, verbal communication and written communication.
Ability to maintain a high level of organization and attention to detail while remaining flexible and responsive when faced with multiple urgent requests.
Ability to read, write and communicate English effectively.
