The Knowledge Management Specialist is responsible for developing, curating and maintaining the Allied Knowledge Management System by implementing and managing solutions for effective and efficient knowledge sharing and job enablement. This is done by supporting the creation, implementation, and maintenance of documents in the knowledge management tool. This role will organize and make accessible knowledge that is essential for our employees to effectively perform their job duties and deliver high quality service to our clients.

Job Duties And Responsibilities
Knowledge Management Strategy and Framework Development (20%)
- With guidance and approval from direct supervisor, define and implement a strategy and standards for how knowledge is collected, submitted, documented, refined and made accessible by end users.
- Define and implement knowledge taxonomy/ontology and meta-data tagging systems to organize and categorize knowledge assets.
- Manage access rights and structure of the knowledge management system.
- Set and adhere to schedules for regular review of knowledge documentation.
- Develop and conduct training sessions on knowledge management best practices and tools with departments and subject matter experts.
- Provide recommendations on ways to enhance technology or processes with a focus. on making knowledge more accessible and understandable.
- Analyze and identify areas for improvement.
- Engage with stakeholders to understand and prioritize business needs for managing knowledge.
- Collaborate with stakeholders and subject matter experts to gather information necessary to create knowledge articles or modify existing knowledge articles of current procedures and knowledge documentation.
- Work with stakeholders and subject matter experts on reviewing knowledge articles for updates.
- Evaluate content submitted by subject matter experts to maintain quality standards for all procedures and knowledge documentation
- Assess end user behaviors and feedback using usability metrics, surveys, focus groups, and other technology-enabled insights to make decisions on how to improve knowledge documentation and maximize the positive impact it has on employees and our service.
- Write and structure sometimes complex knowledge in the knowledge management system that is easily digested and understood by end users, and easily searchable resulting in increased understanding and job execution.
- Track and analyze content usage to identify areas to focus on improving and maximizing impact.
- Bachelor’s Degree required in one of the following fields of study: English, Communications, Information Systems.
- 5 – 7 years of relevant experience required.
- Equivalent experience may be accepted, if that experience is in the area of learning content creation, technical writing, or other forms of professional writing.
- Experience setting up knowledge management system workflows, processes and procedures (required).
- Strong project management skills.
- Ability to analyze and measure the effectiveness of KM initiatives.
- Proven experience in content creation, knowledge management, or technical writing.
- Strong writing, editing, and proofreading skills with an attention to detail.
- Familiarity with knowledge management systems (e.g., Confluence, SharePoint, or similar platforms).
- Ability to simplify complex concepts and make them accessible for diverse audiences.
- Excellent communication skills and the ability to collaborate effectively with cross-functional teams.
- Strong organizational and time management skills with the ability to handle multiple projects simultaneously.
- Basic understanding of SEO and content strategy is a plus.
