Key Responsibilities:
- Client Support & Communication:
- Serve as clients' main point of contact, providing regular updates and promptly addressing their questions or concerns.
- Maintain clear and effective communication via phone, email, and in-person meetings.
- Schedule appointments, consultations, and follow-up meetings, ensuring clients remain informed about their case status.
- Client Satisfaction:
- Monitor client progress and satisfaction, ensuring issues are resolved promptly and effectively.
- Implement strategies to enhance the client experience, ensuring they feel supported and valued.
- Collect feedback from clients to identify areas for improvement and understand their needs better.
- Client Education & Advocacy:
- Educate clients on immigration processes, timelines, and legal requirements, ensuring they understand every step of their journey.
- Advocate for clients needs and concerns, ensuring their experience with the firm is positive and informative.
- Administrative Tasks:
- Support billing and invoicing processes, ensuring clients understand payment terms and schedules.
- Coordinate with other departments to resolve billing, case management, or communication issues.
- Experience in client relations, customer service, or a similar role, preferably within a law firm or immigration services.
- A strong understanding of immigration law processes is a plus.
- Excellent communication and interpersonal skills.
- Proficient in using CRM such as Salesforce
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Bilingual skills (English/Spanish or another language) are highly desirable.
- Bachelor's degree or equivalent experience in a related field.
- Empathy & Patience: Understanding and addressing clients concerns with compassion and sensitivity.
- Problem-Solving: Proactive in resolving client issues and ensuring a smooth experience.
- Attention to Detail: Accurate in record-keeping, case management, and documentation.
- Organizational Skills: Manage multiple client cases efficiently and maintain thorough communication records.
- Team Collaboration: Works well with attorneys, paralegals, and other staff members to deliver exceptional client service.
