Ambient Air Systems is a HVAC business located in Brownsville, Texas. We are looking for a competent, proactive individual to work closely with company executives to run the daily administrative operations of the company. They must exhibit skills in building & maintaining strong relationships both internally and externally. Detail-oriented and possesses exceptional organizational and communication skills. Be willing to take work independently without guidance at times. As well as incorporating new and effective ways to achieve better results.
Responsibilities:
- Provide administrative support to company team members -Attend meetings to record minutes
- Sort, respond and distribute communications/requests in a timely manner
- Multitask; answer and redirect phone calls, take messages, and respond to inquiries
- High degree of attention to detail; perform data entry and maintain accurate records
- Maintain files, update, edit, generate reports and organize documents, both physical and electronic.
- Ability to maintain confidentiality and handle sensitive information with discretion
- Assist with customer service inquiries and provide excellent service to customers and vendors
- Coordinate office activities and ensure smooth operations
- Proofread documents for accuracy and grammar
- Be comfortable taking the initiative when faced with administrative decision making
- Perform general clerical duties as needed -Other administrative responsibilities as requested
Skills:
- Knowledge of QuickBooks for basic bookkeeping tasks
- Microsoft Office Suite (Word, Excel, PowerPoint)
- Strong organizational and time management skills ; multitask
- Excellent written and verbal communication skills
- Capacity for learning new skills quickly
- Attention to detail and accuracy; validity of information in all work performed
- Familiarity with office equipment such as computers, printers, scanners, and phone systems
Qualifications and requirements

Experience:
-Office management: 2 years (Preferred) - Customer Service: 2 year (Preferred)

Please note that this is a full-time position with regular office hours.
