Job Summary
This position provides comprehensive administrative support to the Director of Human Resources. This role requires a detail-oriented professional with strong organizational, communication, and technical skills. This employee will be responsible for maintaining records, preparing reports, processing employee-related documentation, assisting with recruitment and benefits administration, and supporting various human resources functions. The employee in this position must demonstrate professionalism, discretion, and the ability to interact effectively with employees, administrative personnel, and the public.
Job Responsibilities
- Manage calendars, appointments, correspondence, reports, and HR documentation.
- Support the Director of Human Resources with administrative tasks and special projects.
- Coordinate HR meetings, trainings, and events, including scheduling and agenda preparation.
- Maintain accurate employee records, personnel files, benefits forms, and performance evaluations.
- Update HR databases with employee information and employment status changes.
- Ensure compliance with federal and state employment laws by tracking required documentation and preparing reports as needed.
- Maintain confidentiality and proper handling of sensitive HR files and documents.
- Respond to HR-related inquiries, i.e. policies, benefits, employee concerns, and provide HR-related support.
- Complete departmental purchases and financial processes, including preparing requisitions for supplies and processing insurance payments.
- Post job openings, manage job boards, screen resumes, and coordinate interviews.
- Assist with employee onboarding and conducting orientations.
- Perform other duties assigned to support HR operations.
Minimum Qualifications
- High School Diploma or GED.
- Two to three years of clerical and human resources experience.
- Proficiency in Microsoft Office applications.
- Sound judgment and decision-making skills
- Strong written and verbal communication skills.
- Ability to work independently with minimal supervision.
- Excellent organizational skills
- Ability to prioritize tasks and meet critical deadlines.
- Ability to collaborate effectively with colleagues and contribute to team projects.
Preferred Qualifications
- Associates in business management or related field.
- Knowledge of human resources principles, office procedures, and industry best practices.
- Strong record-keeping abilities and attention to detail
- Bilingual (English / Spanish).
Work Conditions & Physical Demands
- Frequent use of a computer for extended periods.
- Light physical activity, including bending, stooping, and lifting objects up to 25 pounds.
- Prolonged sitting (up to 8 hours per day) and occasional standing or walking in outdoor environments.
- Potential exposure to dusty areas and heavy equipment operations.
- Occasional driving in areas where heavy equipment is in use.
- May require extended work hours outside of normal schedule.
Additional Requirements
- Valid Texas Motor Vehicle Operator’s License.
- Must possess, or be able to obtain, a valid Transportation Worker Identification Credential (TWIC).
- Selected candidate must pass a pre-employment drug screening and background investigation to be hired for this position.
